About the position

The Meeting Planner/Director of Meetings is responsible for the comprehensive planning, organization, and management of in-person, virtual, and hybrid meetings for two client associations. This role involves overseeing all aspects of event planning, including marketing, logistics, budgeting, and vendor management, ensuring the effectiveness and profitability of various conferences, seminars, and trade shows.

Responsibilities

  • Develop, implement and manage an ongoing marketing campaign to promote events.
  • Serve as primary liaison to speakers, overseeing their needs and organizing information.
  • Oversee the planning and launch of mobile and desktop meeting apps.
  • Monitor attendance and create reports to gauge registration trends.
  • Create and monitor event budgets, ensuring accuracy and reporting.
  • Utilize virtual event platforms for event launches and management.
  • Manage logistics including tours, transportation, activities, and menu selection.
  • Manage the sponsorship program, including development offerings and pricing structure.
  • Manage the exhibitor program, including booth selection and communication with vendors.
  • Serve as on-site liaison to the conference facility for attendees and speakers.
  • Manage the meeting registration process for association meetings.
  • Participate in strategic planning when possible.
  • Coordinate and manage the Planning Committee, including scheduling and communication.
  • Develop and manage the RFP process for hotel bids and concessions.
  • Prepare and present board reports as required.
  • Use strong writing skills to develop and edit marketing material.

Requirements

  • A bachelor's degree and three years of experience in association and/or meetings field, preferred.
  • Proficiency in Microsoft Office Suite including Outlook, Word, and Excel.
  • Knowledge of web-based technology and social media platforms required.
  • High degree of organization and attention to detail.
  • Excellent verbal and written communication skills, including business writing and events marketing copywriting.
  • Familiarity with project management software such as Basecamp.
  • Exceptional customer service attitude.
  • Possess a positive team-player attitude and is a self-starter.
  • Ability to lift up to 35lbs as needed.
  • Must be able to stand for 8-15 hours a day when attending conferences.
