About the position

Williams Mullen is seeking a Receptionist/Legal Administrative Assistant for their Richmond, VA office. This role is designed for an individual with strong legal or professional services administrative skills, who is eager to excel and grow within the firm. The position involves providing front desk support and performing entry-level legal administrative tasks, requiring attention to detail, organizational skills, and the ability to work under pressure.

Responsibilities

  • Answer the telephone and record and deliver messages promptly.
  • Greet clients, guests, and visitors, welcoming them to the firm.
  • Monitor conference room usage and manage scheduling, including ordering lunches.
  • Arrange appointments and notify clients and others of these appointments.
  • Coordinate meeting arrangements, including catering and scheduling of conference rooms.
  • Organize and maintain hardcopy or electronic correspondence and legal documents.
  • Utilize document management software (iManage) and comparison software (Workshare).
  • Perform various support services, including hand deliveries and travel arrangements.
  • Coordinate filings and assist with attorney time sheets submission to Accounting.
  • Maintain client and firm files in accordance with Records Department procedures.
  • Prepare client bill drafts, final bills, and cover letters using Aderant Accounting software.
  • Review and route incoming mail and communicate with clients, attorneys, and court personnel.

Requirements

  • Minimum of one (1) year experience working in a law firm or professional services.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Experience with document management systems and accounting software.
  • Strong communication skills, both oral and written.
  • Ability to prioritize assignments and work well under pressure.

Nice-to-haves

  • Experience with iManage and Workshare software.
  • Knowledge of account reconciliation processes.
