We are seeking a detail-oriented and organized Scheduling Coordinator to join our team at BM Behavioral Center. The Scheduling Coordinator plays a critical role within our organization and is responsible for ensuring a seamless transition in the entire appointment process between all involved areas. This role will be responsible for scheduling all our therapist appointments, ensuring there is a correct distribution of the number of hours in the calendars, providing accurate information to the payroll team, and generating efficient reports to improve our internal processes. We are looking for a compassionate and organized individual with strong analytical skills and full dedication to the role. In this position, you will coordinate and schedule ABA therapy sessions using Practice Management and Scheduling software efficiently and accurately. Effective communication of details across therapists, clinical leadership, and administrative staff is essential. You will proactively manage appointment changes, cancellations, and reschedulings, minimizing disruptions and optimizing therapist time. Collaboration across departments and staff is crucial to maintain strict attention to detail and follow established procedures. Additionally, you will assist with onboarding new therapists, including scheduling initial training and ensuring they are familiar with scheduling procedures. Your responsibilities will also include providing administrative support to therapists, answering scheduling-related questions, and assisting with CentralReach troubleshooting. You will gather and verify therapist timesheets, ensuring accuracy and compliance with company policies, and run accurate and timely departmental reports which require basic computational skills. Participation in team meetings and contributing to process improvement initiatives will be part of your role. You will need to handle multiple tasks simultaneously while remaining organized and calm, demonstrating kindness, courtesy, and patience in all interactions, even in challenging situations.
