About the position

The Accounts Payable Coordinator at Harmony Management LLC is an entry-level position responsible for managing the invoice processing system and ensuring data accuracy. This role involves regular communication with vendors and field staff, as well as collaboration with the Accounts Payable department to streamline processes and ensure timely payments. The ideal candidate will have strong organizational skills to efficiently handle the volume of work and contribute to providing an exceptional experience for internal team members.

Responsibilities

• Manage the end-to-end process of invoice handling, from receipt to validation.
• Ensure the accuracy of all invoice data through diligent review and correction of errors.
• Regularly communicate with vendors and field staff to address any issues related to invoices, payments, and account discrepancies.
• Work closely with the AP department to streamline processes and ensure timely payments.
• Maintain accurate records of all invoices and related correspondence.
• Proactively identify and resolve any issues or discrepancies with invoices.
• Ensure all invoices are processed in compliance with company policies and procedures.
• Perform vendor account maintenance and invoice documentation.

Requirements

• High School Diploma or equivalent required.
• Strong organizational abilities to keep track of numerous invoices and related tasks.
• Demonstrated computer skills including a working knowledge of MS Office products, including Outlook, Excel, and Word.
• Excellent verbal and written skills with internal and external customers.
• Strong ability to organize and prioritize tasks.
• Highly motivated and able to meet deadlines.
