About The Position

The Administrative Assistant 1/Welcome Desk Assistant at the MIT Sloan Career Development Office is responsible for managing the front desk operations, providing reception support, and assisting with various administrative tasks for a team of 30 staff members. This role involves greeting visitors, scheduling appointments, supporting event planning, and ensuring effective communication and resource access for students and alumni.

Requirements

  • A minimum of two years of administrative, office or related work experience.
  • Excellent interpersonal and customer service skills.
  • Demonstrated ability to balance needs of multiple stakeholders.
  • Highly self-motivated individual who can effectively prioritize and execute tasks in a fast-paced team environment.

  • Computer and web/database literacy.

Responsibilities

  • Open and close the office daily.
  • Greet visitors to the Career Development Office.
  • Provide reception support for a team of 30 on-site and remote staff members.
  • Use Outlook calendars and Robin rooms scheduling software to direct visitors to their appointment locations.
  • Assist with hybrid drop-in advising by connecting with the advisor on duty or showing how to schedule an appointment using internal tools.
  • Assist with various aspects of event planning and execution, including booking rooms and submitting audiovisual (AV) orders.
  • Prepare event carts and supplies for events.
  • Manage and update the CDO event calendar.
  • Provide weekly updates on campus events via Slack.
  • Set up events for students, including preparing handouts and arranging lunches.
  • Prepare marketing materials to promote events and ensure successful outreach and engagement.
  • Support access to career development resources and technologies for students and alumni.
  • Provide user information, track engagement with tools, and troubleshoot with users as needed.

Benefits

  • Salary range of $23-$26/hour based on related experience, expertise, and internal equity.
