About the position

The Administrative Assistant position is a temporary role focused on providing essential office support within a healthcare services environment. The role involves a variety of administrative tasks aimed at ensuring smooth office operations and maintaining a professional atmosphere for clients and staff alike.

Responsibilities

  • Perform general office administrative duties, including organizing and maintaining files, scheduling appointments, and managing office supplies.
  • Answer phone calls and direct them to the appropriate personnel.
  • Greet and receive clients in the reception area, ensuring a positive and professional experience.
  • Respond to emails in a timely and professional manner.
  • File paperwork accurately and efficiently, ensuring proper documentation and organization.
  • Scan and digitize documents for easy access and storage.
  • Cross-train on client intake processes to provide support as needed.
  • Adhere to all HIPAA standards on-site to ensure the privacy and security of confidential information.

Requirements

  • High School Diploma or higher education.
  • Proficiency in Microsoft Office, particularly Excel, for data entry and document management.
  • Minimum baseline knowledge of HIPAA compliance.
  • Punctuality and good attendance record.
  • Strong attention to detail and organizational skills.
  • Ability to work with individuals in heightened emotional states with empathy and sensitivity.

Nice-to-haves

  • Associate degree.
