About the position

The Administrative Assistant to the Chief Executive Officer at The Steely Group is a critical role that provides comprehensive administrative support to the executive team, particularly the CEO and CTO. This position is designed for a self-motivated individual who thrives in a fast-paced startup environment, managing multiple projects and priorities while maintaining professionalism and attention to detail. The role involves serving as the primary interface between the company and its service providers, vendors, and consultants, ensuring efficient office operations and supporting HR activities.

Responsibilities

  • Provide day-to-day direct administrative support for the South Bay Area office.
  • Serve as the Executive Admin for the CEO, CTO, and other executive team members.
  • Manage calendar, expense reporting, travel support, vendor collaboration, and corporate event oversight.
  • Assist with communications, facilities, accounts payable support, shipping & receiving, purchasing, and reception.
  • Organize and maintain office operations, including ordering supplies and maintaining cleanliness.
  • Act as the primary point of contact for guests and service providers.
  • Support the executive team with board meetings and scheduling virtual meetings across global time zones.
  • Prepare for meetings, presentations, and milestone events.

Requirements

  • BS/BA degree is required.
  • A minimum of 5-7 years' experience in office management or as a high-level executive assistant.
  • Highly proficient in Microsoft Office including Word, Outlook, Excel, PowerPoint.
  • Ability to assist with general financial management and bookkeeping.
  • Ability to manage conflicting priorities and deliver on critical assignments on time.
  • Demonstrated flexibility and professional maturity to understand priorities and anticipate needs.
  • Attention to detail and quality are critical to success.
  • Strategic thinker with excellent problem-solving skills.
  • Effective oral and written communication skills.
  • Strong interpersonal skills and ability to work well in a team and independently.
  • Possess strong emotional intelligence and business acumen.
  • Maintain professionalism and confidentiality regarding sensitive company information.
