Expressway Toyota is currently seeking a full-time Administrative Assistant to join our team. The Administrative Assistant will play a crucial role in supporting our operations and ensuring the smooth functioning of our administrative tasks. The ideal candidate will be responsible for a variety of tasks that include posting and reconciling factory aftermarket statements, warranty credit statements, and tracking used car titles. Additionally, the Administrative Assistant will assist in reconciling factory incentives and used certification warranty schedules on a monthly basis. This position requires attention to detail and the ability to manage multiple tasks efficiently. The successful candidate will also be involved in archiving deals and paperwork, processing lien pay-off checks, and handling customer aftermarket products. Responsibilities

  • Post all factory aftermarket statements
  • Post and reconcile the factory open parts statements
  • Post factory warranty credit statements
  • Track Used car titles and resolve all title issues
  • Reconcile factory incentives monthly
  • Reconcile used certification warranty schedule monthly
  • Assist in reconciling of additional schedules
  • Archive filing of deals and any paperwork associated with the deal
  • Breaking down of deals
  • Process all Lien pay off checks
  • Payoff and floor-plan factory vehicles
  • Process any and all customer aftermarket products
  • Process miscellaneous check requests
  • Post payable invoices, reconcile statements and pay balances owed
  • Reconcile AR accounts
  • Other duties may be assigned as needed

Requirements

  • Automobile Dealership Experience a plus
  • CDK, ADP or Reynolds and Reynolds preferred, but will train
  • Computer Proficient: Comfortable with MS Office and Google programs
  • 2 years' previous accounting experience required
  • Excellent communication skills
  • Positive attitude and a team player
  • Must be authorized to work in the U.S. without sponsorship and be a current resident
  • Must pass pre-employment testing to include background checks, MVR, and drug screening
