About the position

The Research Business Service Specialist / Administrator II in the Office of Sponsored Programs is responsible for evaluating protocols and project proposals, ensuring compliance with applicable policies and regulations, and identifying documentation requirements. This role involves coordinating with internal and external parties to develop project-specific agreements, budgets, and statements of work. The specialist will review and evaluate proposals to ensure all costs are accounted for, negotiate budgets with sponsors, and ensure optimal payment terms. Additionally, the position requires collaboration with research billing analysts and project teams to address discrepancies and ensure compliance with regulatory requirements. The specialist will also assist in developing departmental tools and standard operating procedures, and provide timely updates on study progress.

Responsibilities

  • Evaluates protocols/project proposals and business relationships for feasibility and compliance.
  • Identifies documentation requirements and determines appropriate agreement templates.
  • Coordinates with parties to develop statements of work and project proposals.
  • Reviews protocols to develop project-specific budgets accounting for all costs.
  • Partners with study staff to ensure all project items are accounted for and priced appropriately.
  • Applies charge master pricing to project budgets and obtains price quotes from service providers.
  • Collaborates with billing analysts to address discrepancies in budgets.
  • Reviews investigator-initiated protocols for problematic language and recommends changes.
  • Negotiates contract language to meet legal, financial, and business needs.
  • Assesses contract payment terms for optimal conditions.
  • Coordinates meetings to ensure understanding of project requirements among all parties.
  • Ensures compliance and regulatory requirements are met before project initiation.
  • Builds project calendars in databases as needed.
  • Reviews project documents for consistency and accuracy.
  • Organizes the signature process for final documents under time constraints.
  • Inputs progress and essential information in project-tracking databases.
  • Provides status updates to leadership and study staff regarding study progress.
  • Resolves contract/budget related questions due to amendments or new requirements.
  • Negotiates budget/contract amendments as necessary.
  • Assists in the development of departmental tools and templates.

Requirements

  • Bachelor's Degree in Business, Life Science, or related field.
  • Typically requires 3 years of experience in research or a related field.
  • One year of experience from which comparable knowledge and skills can be acquired.
  • Pre-award, post-award, or contracting skills preferred.
  • Medical terminology knowledge preferred.
  • Minimum of 1-year Business Office experience in a healthcare or Research Office preferred.
  • Basic understanding of contracts and grants concepts preferred.
