About the position

The National Multiple Sclerosis Society is seeking an individual to provide a broad range of administrative support to two market offices, including one local office in Denver and one remote support. The primary responsibilities include supporting fundraising events and managing office facilities. This role requires some weekend work and potential travel for events. It is a hybrid position, requiring in-office presence in Denver, CO at least two days a week.

Responsibilities

  • Lead registration and donation handling for Bike MS, Walk MS, and Leadership Events
  • Attend market events and provide excellent experience for volunteers and participants
  • Participate in all training, assist in report generation, support offline donation processing
  • Assist in gathering and managing Board of Trustee data, take minutes, and prepare the office for quarterly Board of Trustees meetings
  • Support supervisors and Chapter President in setting up office space and equipment for new hires
  • Manage weekly mail gathering, shipping, coding, and batch redacting
  • Act as the primary contact for building management, landlord, and office or equipment vendors
  • Ensure office space, equipment, and services are maintained, and staff are equipped to use them effectively
  • Coordinate and place timely supply and equipment orders to support facility needs, general operations, and events
  • Serve as the primary point of contact for executing office moves and closures
  • Work in partnership with other departments to execute physical receipting needs
  • Coordinate to ensure deadlines are met
  • Streamline workflows while ensuring good customer service.

Requirements

  • Associate's Degree or Higher preferred (3-5 years of relevant experience in lieu of degree)
  • Minimum of three years office experience including AP/AR, HR, and executive support
  • Mailroom/supply experience preferred
  • Shipping and receiving experience helpful
  • Basic understanding of internal controls
  • Skills in accurate data entry and preparation of spreadsheets on a PC
  • Able to stay focused on deadlines while multitasking
  • Flexibility in prioritizing duties
  • Professional demeanor
  • High degree of confidentiality required

Nice-to-haves

  • Basic knowledge of MS Windows operating systems and MS Office 2010
  • Basic understanding of PC networks
  • Able to prioritize and organize workload
  • Must be able to work with people that have a wide variety of personalities and abilities
  • Ability to lift 50 pounds
