The Assistant Community Manager plays a crucial role in overseeing the daily operations of an apartment community. This position involves a variety of responsibilities that ensure the smooth functioning of the property, including financial management, personnel management, strategic leasing management, and administrative management. The Assistant Community Manager is tasked with maintaining accurate financial records, processing payments, and managing accounts receivables. They are also responsible for monitoring bad debt, preparing late notices, and handling evictions when necessary. This role requires a keen eye for detail and the ability to work efficiently to meet budgeted revenues and expenses while ensuring the property’s financial health. In addition to financial duties, the Assistant Community Manager is responsible for personnel management, which includes hiring, training, and developing onsite staff. They must ensure that the staff is effective and compliant with company policies and procedures. This involves ongoing training and support to promote a harmonious work environment and high-quality job performance. The Assistant Community Manager also plays a key role in strategic leasing management, ensuring that leasing techniques are effective and that resident satisfaction is prioritized. This includes dealing with resident complaints and implementing retention programs to foster a positive community atmosphere. Administrative management is another critical aspect of this role. The Assistant Community Manager must maintain excellent customer service standards, monitor service requests, and ensure that the property is well-maintained. Regular property inspections and tours are necessary to ensure that repairs are noted and completed promptly. The Assistant Community Manager also assists in planning and utilizing property resources economically, which may involve obtaining bids from vendors and managing supplies effectively. Overall, this position requires a blend of financial acumen, leadership skills, and a commitment to resident satisfaction.

Responsibilities

  • Assist in overseeing day-to-day operations at the apartment community.
  • Compute, classify, and record numerical data to maintain financial records.
  • Assist with leasing, marketing, and resident relations for the community.
  • Post all payments and income received from applicants and residents accurately and timely.
  • Process and reconcile daily accounts receivables.
  • Monitor and follow up on bad debt, including preparation of late notices and filing evictions.
  • Help the property meet budgeted revenues, expenses, and Net Operating Income.
  • Post all charges to resident accounts, including utility bill backs where applicable.
  • Conduct end-of-month closing procedures and reporting.
  • Maintain accurate and organized records, auditing resident files for accuracy.
  • Walk units and post all move-out charges and security deposit refunds.
  • Screen, hire, train, coach, and develop onsite staff using consistent techniques and company directives.
  • Ensure staff effectiveness through ongoing training and guidance in compliance with Asset training benchmarks.
  • Promote harmony and quality job performance among staff through support and effective leadership.
  • Ensure staff compliance with company policies and procedures.
  • Implement effective leasing techniques and follow-up procedures to secure lease signings.
  • Deal with resident complaints and requests to ensure satisfaction.
  • Develop and implement resident retention programs such as functions and newsletters.
  • Show, lease, and move in prospective residents effectively.
  • Manage customer service and monitor maintenance staff responsiveness.
  • Maintain property appearance and ensure timely completion of repairs through regular inspections.
  • Assist with supervision of all business functions related to operations.
  • Plan and utilize property resources economically.

Requirements

  • Related multi-family property management experience.
  • Experience with AppFolio software.
  • Strong leadership and management skills.
  • Ability to work a flexible schedule, including evenings and weekends.
  • A current, valid Driver License is required.
  • Customer service experience of at least 1 year.
