About the position

The Assistant Property Manager position at Bainbridge is designed for a highly organized individual who enjoys working with people and assisting prospects in finding their ideal home. This role is second in command under the Property Manager and involves maintaining resident files in OneSite, managing rent payments through the resident portal, addressing delinquent accounts, reviewing Final Accounting Statements (FAS), and preparing legal documents. The Assistant Property Manager will also support the turnover process for new leases and lease renewals.

Responsibilities

  • Show, lease and move in prospective residents.
  • Maintain excellent customer service relationships with residents, vendors, co-workers, and the community.
  • Stay informed about market conditions, trends, and product knowledge in the community and competitive areas.
  • Oversee efforts to maximize rental income and high occupancy through sales and marketing plans.
  • Adhere to Standard Operating Procedures.
  • Assist in achieving community financial goals by helping develop, prepare, and administer the community’s capital and operating budgets.
  • Provide clerical and phone support.
  • Monitor timely receipt and reconciliation of rent collections and ensure compliance with landlord/tenant statutes.
  • Review and approve Final Accounting Statements (FAS) for accuracy and compliance with state law.
  • Maintain a calendar of scheduled move-ins and ensure all apartments are compliant before move-in.
  • Prepare and deliver legal and formal notices in accordance with state law and company standards.
  • Resolve resident complaints and direct issues to the Property Manager.
  • Input cash receipts into OneSite and prepare deposit receipts.
  • Complete OneSite training sessions and processes as per operational policies.
  • Initiate necessary evictions by preparing and forwarding paperwork for legal proceedings.
  • Conduct resident move-outs in accordance with state law and company standards.
  • Maintain account records and transactions in OneSite.
  • Ensure timely collections of rent receipts and prepare delinquency reports.
  • Communicate effectively with owners, residents, vendors, and co-workers.
  • Handle customer complaints promptly and appropriately.
  • Adhere to company standards for screening residency applicants.
  • Participate in planned resident activities.
  • Complete accounting Pre-Close and Month End Reports.
  • Enter invoices for payment if applicable.
  • Monitor and maintain accurate information with In House Collections.
  • Prepare monthly write-offs for the Property Manager’s approval.
  • Perform other tasks or duties as assigned by the supervisor.

Requirements

  • High School education or equivalent is required; college degree is a plus.
  • Fluency in reading and writing English.
  • Ability to perform intermediate mathematical functions and use on-site resident management software.
  • At least two years of experience in residential property management or a related field.
  • Valid driver’s license and current automobile insurance; own vehicle required.
