About the position

The Millenia Companies is seeking an Assistant Property Manager who possesses a strong knowledge of residential housing and housing programs. This role is crucial as the Assistant Property Manager will report directly to the Community Manager and will share responsibility for the overall operation and day-to-day implementation of policies, procedures, and programs to ensure that the community is well-managed and maintained. The ideal candidate will assist in managing the community according to prescribed policies and procedures, under the supervision of the Property Manager or Senior Property Manager, and will be involved in all operational and financial aspects of the property or properties. The Assistant Property Manager will be responsible for maintaining property rentals by advertising and filling vacancies, negotiating and enforcing leases, and ensuring the security and maintenance of the premises. A thorough understanding of Fair Housing Laws and all other relevant housing laws is essential. The candidate will also be tasked with interviewing and screening prospective residents for occupancy, identifying appropriate contractors, defining the scope of work, and obtaining necessary bids. Additionally, the role involves processing and monitoring work orders, submitting invoices for payment, and managing rent collection and receipting using Onesite property management software. In this position, the Assistant Property Manager will submit required reports and maintain records according to company policy, conduct in-house monthly file audits, and perform apartment inspections for move-in/move-out conditions. The role requires organizing and filing all relevant reports, leases, and paperwork, as well as accepting service requests from residents and routing them to maintenance for prompt processing. The Assistant Property Manager must ensure the completion of all recertification paperwork within its required deadline and maintain the property's filing system daily, including applicant/resident, accounting, vendor, and contract files. A positive customer relations attitude is essential, along with the ability to physically inspect units and the community.

Responsibilities

  • Interview and screen prospective residents for occupancy.
  • Identify appropriate contractors, define the scope of work, and obtain necessary bids.
  • Process and monitor work orders.
  • Process and submit invoices for payment.
  • Collect rent, receipt payments, and prepare deposits using Onesite property management software.
  • Submit required reports and maintain records according to company policy.
  • Conduct in-house monthly file audits.
  • Perform apartment inspections for move-in/move-out conditions and ensure completion within 24 hours.
  • Organize and file all relevant reports, leases, and paperwork.
  • Accept service requests from residents and route to maintenance for prompt processing.
  • Ensure completion of all recertification paperwork within required deadlines.
  • Maintain the property's filing system daily, including applicant/resident, accounting, vendor, and contract files.
  • Maintain a positive customer relations attitude.
  • Physically inspect units and the community.
  • Execute marketing and advertising campaigns for apartment leasing in conjunction with the Affirmative Fair Housing Marketing Plan.
  • Create innovative marketing ideas for the community and improve resident satisfaction.

Requirements

  • High school diploma/GED required or 2+ years' experience in residential leasing or property management.
  • Excellent communication and time management skills.
  • Experience with Microsoft Office (Word, Excel, and PowerPoint).
  • Marketing, sales, or customer service experience required.
  • Housing experience required, preferably affordable housing with an emphasis on HUD and LIHTC.
  • Strong computer experience in MS Word, Excel, and Outlook; Onesite experience a plus.
  • Knowledge of state and local landlord/tenant laws and applicable building codes.
  • Ability to analyze complex problems, propose workable solutions, and implement corrective actions.
  • Solid understanding of data analysis, budgeting, and business operations.
  • Superior analytical and problem-solving capabilities.
  • Excellent organizational skills.
