About the position

The Assistant Property Manager plays a crucial role in the daily operations of the community under the guidance of the Property Manager. This position is responsible for overseeing various aspects of property management, including staff training, leasing activities, financial stability, and maintenance operations, while ensuring compliance with affordable housing regulations.

Responsibilities

  • Assists in the training of all property staff.
  • Creates a positive, welcoming, supportive environment for residents, visitors, and community staff.
  • Responsible for maintaining a neat and clean office condition.
  • Evaluates staff performance and conducts annual performance reviews.
  • Counsels underperforming staff and provides critical feedback.
  • Prepares, approves, and submits timesheets and payroll adjustments.
  • Assists in the selection of community staff and conducts preliminary interviews.
  • Maintains knowledge of affordable regulatory forms and documents.
  • Submits accurate and complete reports as specified by Residential One.
  • Maintains building security measures and ensures proper incident documentation.
  • Conducts semi-annual in-house file audits.
  • Maintains the property's filing system daily.
  • Ensures all community staff attend mandatory trainings.
  • Understands Boston Post software and the paperless workflow process.
  • Responsible for the preparation of the Reserve Funds Replacements (RFR).
  • Supervises all leasing activities and sets goals for maintaining 100% occupancy.
  • Executes marketing and advertising campaigns for apartment leasing.
  • Notifies residents in writing of issues affecting their tenancy.
  • Maintains vacancy information as required by Residential One and monitoring agencies.
  • Ensures timely completion of move-in certifications and re-certifications.
  • Supervises and assists in maintaining a current and accurate waitlist.
  • Screens and reviews all applications in a timely manner.
  • Responsible for apartment inspections for move-in/move-out conditions.
  • Completes semi-annual apartment/townhome and quarterly inspections.
  • Files court documents for eviction and attends scheduled court hearings.
  • Achieves financial stability through cost reduction and maintaining 0% delinquency.
  • Completes security deposit administration and processes returns within 21 days.
  • Prepares the annual operating budget and explains monthly variances.
  • Responsible for the operations and purchases of the maintenance department.
  • Solicits and reviews bids for contract work before submission to the Regional Director.
  • Ensures preventative maintenance schedules are completed on time.

Requirements

  • High school diploma/GED required.
  • 2+ years' experience in residential leasing or property management.
  • 1+ years' experience working with LIHTC/Section 8 property management.
  • Excellent communication and time management skills.
  • Well-developed customer service and sales skills.
