About the position

The Assistant Property Manager supports the Property Manager in managing day-to-day operations of assigned properties, ensuring tenant satisfaction and effective communication with tenants and vendors. This role involves overseeing tenant relations, managing work orders, and maintaining property standards, while also assisting in financial management and operational efficiency.

Responsibilities

  • Assist in the development and mentorship of the Property Management Coordinator.
  • Mobilize employees and contracted service providers to meet customer expectations.
  • Promote and maintain positive relations with tenants through proactive communication.
  • Coordinate new tenant orientation meetings and manage tenant move-in/move-out processes.
  • Respond to site emergencies and participate in emergency response protocols.
  • Manage tenant work order requests and ensure timely completion.
  • Assist in the development of RFPs and execution of contracts.
  • Monitor service contractors to ensure compliance with contract specifications.
  • Maintain financial management responsibilities including budget preparation and reporting variances.
  • Analyze maintenance programs and recommend improvements to the Property Manager.
  • Direct the Property Management Coordinator in maintaining insurance certificate files.
  • Partner with the Property Manager to identify additional tenant service income opportunities.
  • Manage tenant electric meter reading and invoicing procedures.
  • Review and approve property invoices as per authority matrix.
  • Inspect tenant spaces and common areas to ensure high maintenance standards.
  • Coordinate with external contractors and internal departments for seamless service delivery.
  • Participate in tenant improvement meetings and coordinate building service shutdowns.
  • Collaborate with internal and external stakeholders to ensure effective operations.

Requirements

  • BA/BS degree in business administration, real estate or related field required.
  • 2-5 years of property management experience preferred.
  • Continuing education in RPA or CPM certification courses, and LEED approved courses highly desirable.
  • Working knowledge of operating costs, budgeting, and expense control preferred.
  • Proficiency with Microsoft Office applications; JD Edwards experience preferred.
  • Familiarity with ADA and OSHA regulations preferred.
  • Ability to organize and coordinate work efficiently in a demanding environment.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and ability to respond creatively to multiple tasks.
  • Ability to work autonomously and as part of a team.
  • Ability to work under pressure and meet deadlines.
