About the position

The Assistant Property Manager plays a crucial role in supporting the Property Manager in the daily operations of assigned properties. This position is responsible for ensuring the timely resolution of operational issues, maintaining high tenant satisfaction, and overseeing the aesthetic appeal of the properties. The Assistant Property Manager serves as a liaison between tenants and the management team, facilitating communication and addressing tenant needs effectively. This role involves regular interaction with tenants and vendors, ensuring that all parties are informed and satisfied with the services provided. The Assistant Property Manager also assists in the mentorship and development of the Property Management Coordinator, fostering a collaborative environment to meet the goals of the property portfolio. In addition to tenant relations, the Assistant Property Manager is tasked with managing operational functions, including the execution of tenant work orders, monitoring service contractors, and maintaining financial responsibilities such as budget preparation and variance reporting. The role requires a proactive approach to managing tenant move-ins and move-outs, coordinating training and emergency response protocols, and ensuring compliance with safety regulations. The Assistant Property Manager will also conduct regular inspections of tenant spaces and common areas to uphold maintenance standards and collaborate with various internal departments to deliver seamless customer service. The position demands a high level of organization, communication, and interpersonal skills, as the Assistant Property Manager will be involved in various projects and initiatives, including tenant events and marketing efforts. This role is essential in supporting the Property Manager and ensuring that the properties operate efficiently and effectively, contributing to the overall success of the property management team.

Responsibilities

  • Assist the Property Manager in resolving day-to-day operational issues.
  • Serve as a tenant liaison, maintaining high tenant satisfaction.
  • Promote and maintain positive relations with tenants through proactive communication.
  • Coordinate new tenant orientation meetings and manage tenant move-ins and move-outs.
  • Manage tenant work order requests and ensure timely completion.
  • Assist in the development of RFPs and execution of contracts.
  • Monitor service contractors to ensure compliance with contract specifications.
  • Maintain financial management responsibilities, including budget preparation and reporting.
  • Regularly inspect tenant spaces and common areas to ensure maintenance standards are met.
  • Coordinate with external contractors and internal departments for seamless service delivery.
  • Participate in tenant improvement meetings and manage construction-related logistics.

Requirements

  • BA/BS degree in business administration, real estate, or related field required.
  • 2-5 years of property management experience preferred.
  • Continuing education in RPA or CPM certification courses is highly desirable.
  • Working knowledge of operating costs, budgeting, and expense control preferred.
  • Demonstrated proficiency with Microsoft Office applications.
  • JD Edwards experience preferred.
  • Familiarity with ADA and OSHA regulations preferred.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and ability to respond creatively to multiple tasks.
  • Ability to work autonomously and as part of a team.
  • Ability to work under pressure and meet deadlines.
