About the position

The Assistant Property Manager plays a crucial role in supporting the Property Manager in the daily operations of the property. This position is responsible for ensuring that operational goals are met, generating satisfactory cash flow, and providing excellent customer service to both current and prospective residents. The Assistant Property Manager will oversee the office in the absence of the Property Manager, ensuring that all funds related to the property are managed appropriately and that daily bank deposits are made. This role requires a proactive approach to leasing apartments, managing office tasks, and supporting the overall management of the property. In addition to overseeing leasing activities, the Assistant Property Manager will be involved in resident retention efforts, coordinating concessions, and facilitating customer service initiatives. This includes performing leasing duties such as generating traffic, responding to inquiries, and conducting tours for prospective residents. The Assistant Property Manager will also be responsible for negotiating leases and renewals, maintaining resident files, and ensuring a smooth move-in process for new residents. A friendly and courteous attitude is essential, as this role involves regular interaction with residents, clients, and guests. The Assistant Property Manager will also handle various administrative tasks, including collecting rent, posting payments into the RealPage OneSite system, and preparing reports on occupancy, vacancies, and market surveys. Communication with delinquent residents regarding late payments and eviction notices is also part of the role. Additionally, the Assistant Property Manager will assist in planning community events and ensuring compliance with safety policies and procedures. This position requires a commitment to teamwork and a positive attitude, as well as adherence to Standard Operating Procedures for rent collections and other operational tasks.

Responsibilities

  • Oversee the office in the absence of the Property Manager and manage all funds related to the property.
  • Support, coordinate, and facilitate leasing, resident retention, concessions, and customer service activities.
  • Perform leasing of units, including generating traffic and responding to inquiries.
  • Provide tours to prospective residents, qualify prospects, and close sales by obtaining rental applications and deposits.
  • Negotiate new leases and renewals per specifications of the property owner and Property Manager.
  • Maintain resident files and ensure timely move-in for new residents.
  • Display a friendly and courteous attitude towards residents, clients, and guests.
  • Provide satisfactory results regarding maintenance requests and assist with ordering parts and supplies.
  • Collect rent from residents and post into RealPage OneSite.
  • Complete reports in a timely manner, including computation reports, move-out reports, and vacancy reports.
  • Contact delinquent residents and communicate late notices and eviction notices.
  • Distribute renewal notices to current residents and assist with resolving resident issues and complaints.
  • Assist with planning and attending social and community events for residents.
  • Ensure adherence to policies and safety rules; report incidents as required.
  • Inspect vacated units to assess needed repairs and monitor property aesthetics.
  • Process purchase orders and invoices and send them to accounting.
  • Perform other job duties as assigned by the Property Manager.

Requirements

  • Experience in property management or a related field is preferred.
  • Strong customer service skills and the ability to interact positively with residents and clients.
  • Excellent organizational and multitasking abilities to manage various responsibilities effectively.
  • Proficiency in using property management software, such as RealPage OneSite, is a plus.
  • Ability to handle financial transactions and maintain accurate records.
