About the position

The Benefits Coordinator plays a crucial role in supporting the Benefits Manager with the administration, communication, and coordination of employee benefits programs. This position is essential in ensuring compliance with applicable laws and reporting requirements mandated by both state and federal regulations. The Benefits Coordinator is responsible for maintaining positive relationships with all internal and external customers, ensuring that employees receive the necessary support regarding their benefits. In terms of benefits administration, the coordinator assists the Benefits Manager in the daily management of various programs, including health, dental, vision, life insurance, and retirement plans. This includes processing employee benefits enrollments, changes, and terminations accurately and in a timely manner. The role also involves coordinating with payroll and vendors to ensure that benefits deductions and billing are handled correctly. Additionally, the Benefits Coordinator leads the administration of Leave of Absence requests and collaborates with the HR team to track and document any necessary accommodations. The Benefits Coordinator serves as the first point of contact for employee inquiries related to benefits, providing clear and accurate information. They assist employees with issues such as claims resolution, coverage questions, and eligibility concerns. Furthermore, the coordinator is responsible for distributing benefits communication materials, including plan documents and educational resources, and supports the planning and execution of benefits open enrollment. Compliance is a significant aspect of this role, as the Benefits Coordinator must ensure adherence to laws and regulations such as COBRA, FMLA, ACA, ERISA, and HIPAA. They maintain accurate benefits records and employee files and assist in preparing and submitting required reports and filings. The coordinator also supports the HR team with general employee requests regarding HR policies and procedures and may assist with special HR projects as needed.

Responsibilities

  • Support the Benefits Manager in the day-to-day administration of health, dental, vision, life insurance, retirement plans, and other benefit programs.
  • Process employee benefits enrollments, changes, and terminations in a timely and accurate manner.
  • Coordinate with payroll and vendors to ensure accurate benefits deductions and billing.
  • Lead the Leave of Absence administration and coordinate with the HR team in tracking and documenting any applicable accommodations.
  • Serve as the first point of contact for employee benefits inquiries, providing clear and accurate information.
  • Assist employees with benefits-related issues, including claims resolution, coverage questions, and eligibility.
  • Coordinate the distribution of benefits communication materials, including plan documents, benefits guides, and educational resources.
  • Support in the planning and execution of benefits open enrollment.
  • Ensure compliance with applicable laws and regulations, including COBRA, FMLA, ACA, ERISA, and HIPAA.
  • Maintain accurate and up-to-date benefits records and employee files.
  • Assist with the preparation and submission of required reports and filings.
  • Support HR team for general employee requests on HR policies and procedures.
  • Assist with special HR projects as needed and perform other duties as assigned.

Requirements

  • High school diploma or equivalent (Bachelor's degree in Human Resources, Psychology, or Business Administration preferred).
  • Bilingual in Spanish preferred.
  • 2-3 years of human resource experience preferred.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • A working knowledge of HR compliance laws and regulations.
  • Excellent organizational skills and high-level attention to detail.
  • Effective at managing multiple priorities under tight deadlines, with the ability to deliver consistent results and bring assignments to successful completion.
  • Strong technical aptitude; proficiency with Microsoft Office to include Word, Excel, and PowerPoint.
  • Exceptional ability to maintain the highest level of confidentiality and excellent customer service skills.
