The Benefits Coordinator provides coordination support to the Benefits team and programs, including active and retiree plans for health and welfare benefits, as well as employee wellness, employee leave, retirement, and other related benefit programs. This role involves performing moderately complex, routine, and/or confidential transactional tasks for the Benefits team. Working in collaboration with others helps create greater process efficiency and continuity across Benefits functions. The Benefits Coordinator is expected to perform exemplary customer service and assistance to employees, leaders, HR Business Partners (HRBPs), HR Centers of Expertise (COEs), and the HR Solutions Center (HRSC). In this position, you will provide support to the Benefits team and programs, including health and welfare benefits, employee wellness, employee leave, retirement, and other related benefit programs. You will be responsible for performing transactional tasks related to the administration of these programs, maintaining and ensuring accuracy of employee data, and supporting various compliance activities. The role also includes preparing data for audits, compliance activities, and labor agreement negotiations, as well as producing documents, graphics, spreadsheets, and other materials. You will be a key player in ensuring that the Benefits team operates efficiently and effectively, contributing to the overall success of the organization.

Responsibilities

  • Provide support to the Benefits team and programs, including health and welfare benefits, employee wellness, employee leave, and retirement programs.
  • Perform transactional tasks related to the administration of health & welfare plans and trust accounts.
  • Collect, organize, and maintain highly confidential and sensitive information.
  • Maintain and ensure accuracy of employee data in related systems; adhere to governance policies and systems.
  • Perform assigned tasks to design and execute communications for the team, including intranet presence and distribution of materials.
  • Provide coordination and support for employee education sessions, workshops, and activities sponsored by the Benefits department.
  • Fulfill routine and ad hoc reporting requests, including gathering data for actuarial valuations and compliance filings.
  • Prepare data to support audits, compliance activities, and labor agreement negotiations.
  • Support effective use and management of systems that enable Benefits and HR team operations.
  • Process third-party vendor invoicing and create vendor purchase orders.

Requirements

  • High school diploma or GED.
  • Minimum of 2 years of experience as a Benefits Coordinator or related HR role.
  • Strong analytical ability to gather and summarize data for reports and find solutions to administrative problems.
  • High level of interpersonal skills to handle sensitive and confidential information.
  • Proficient experience in a variety of computer software applications, including Microsoft 365 and HRIS systems.

Nice-to-haves

  • Associates degree or higher.
  • Three to five years of previous administrative experience with exposure to labor and employment law.
