About the position

The Benefits Coordinator at EG America - Cumberland Farms plays a crucial role in supporting the compliant administration of all benefit plans for the EG Retail America division. This position ensures that team members have the correct deductions taken from their pay and that all related policies and procedures are applied accurately and in a timely manner. The Benefits Coordinator will be responsible for entering benefit enrollment information and changes into the HRIS payroll system, UKG Pro. This includes managing premium amounts, 401k deferrals, arrears, and all related benefits data. In addition to data entry, the Benefits Coordinator will respond to emails and phone calls regarding all benefits plans and programs, providing support to both field leadership and team members. The role requires entering applicable data into all benefits-related vendor systems, ensuring the accuracy and timeliness of information for coverage purposes, and working with external vendors to resolve any discrepancies. Compliance with HIPAA requirements is essential, as the coordinator will manage and handle confidential HIPAA information. The position also involves preparing and maintaining personnel files according to retention policies for the benefits area, completing and executing required notices and communications from local, state, and federal agencies, and serving as a resource on all matters related to benefits. The Benefits Coordinator will provide support to the Benefits team with special projects and daily tasks as needed, collaborating with various departments including HR, Finance, Payroll, IT, and external vendors and consultants.

Responsibilities

  • Enter benefit enrollment information and changes to benefits into the HRIS payroll system, UKG Pro.
  • Respond to emails and phone calls relating to all benefits plans and programs.
  • Enter applicable data into all benefits related vendor systems, ensuring accuracy and timeliness.
  • Ensure compliance with all HIPAA related requirements in the management of confidential information.
  • Prepare and maintain personnel files based on retention policies for the benefits area.
  • Complete and execute required notices and communications from local, state, and federal agencies.
  • Serve as a resource on all matters relating to Benefits, ensuring compliance with internal service level commitments.
  • Provide support to the Benefits team with respect to special projects and daily tasks.

Requirements

  • High school diploma or GED required.
  • 1-2 years of office experience with a focus in data entry and customer service.
  • Proficiency with Microsoft Windows, including Word, Excel, and PowerPoint.
  • Ability to exercise discretion while managing confidential information.
  • Effective time management skills and ability to manage multiple priorities and tasks simultaneously.

Nice-to-haves

  • Associates degree or some college education preferred.
  • 1-2 years of Benefits experience preferred.
