About the position

This position provides overall support to the Board of Directors and Senior Administrative Staff, ensuring the accurate and timely recording of minutes and board actions, as well as supporting special projects as assigned.

Responsibilities

  • Plan, be physically present at, and prepare for Board meetings (including Board committee meetings), take minutes at meetings, confirm attendance of Board members, prepare Board packets, transcribe minutes, prepare a summary of talking points after regular meetings, and coordinate refreshments.
  • Provide the same support for other meetings as required.
  • Coordinate all Board of Directors travel, including airline reservations, per diem calculations, and procedural follow-up needs (i.e., assisting board members with submitting required documentation completion of trip reports).
  • Update the Board Calendar annually and keep track of any board related events.
  • Act as a liaison between the Board members, Board President, and the CEO to keep the flow of communication ongoing.
  • Compile Directors’ reports for submittal to CRNA Board.
  • Provide secretarial duties as required, such as, but not limited to, typing, copying, check requests, and maintaining an accurate filing system, and be experienced in using the electronic supportive software.
  • Assist with the planning and organizing of any Board training.
  • Maintain familiarity with IHS and BIA issues.
  • Understand CRNA Bylaws and Board Governance documents (including keeping them current).
  • Have knowledge of Roberts Rules of Order, or be willing to learn.
  • Maintaining and updating official documentation and records to ensure they contain accurate and verified information.
  • Manage relationships with the Tribal Administrators.
  • Be willing to support organization events.
  • Travel to meetings as required.
  • Maintain confidentiality in regard to Board of Directors and Executive issues.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Some college or certificate demonstrating knowledge in a related field, with a minimum of 2 years of relevant experience in positions such as Executive Assistant, Office Manager, Board Secretary, Project Coordinator, Legal Secretary, Meeting Coordinator, or Travel Coordinator.

Nice-to-haves

  • Associate’s degree in business or other field.
  • 5 years of experience working as a Board Secretary or similar position.
