About The Position

The Business Office Assistant at Boulder Creek Post Acute is responsible for accurately recording all facility revenue and ensuring timely collection of payments. This role involves managing various financial tasks, including billing, cash management, and collections, while maintaining compliance with company policies and HIPAA standards. The position requires strong communication skills and the ability to work collaboratively with other departments to support the overall financial health of the facility.

Requirements

  • Proficient in Microsoft Word, Excel, and Outlook.
  • Mid-level experience with QuickBooks.
  • Strong communication skills.
  • Office experience, preferably in a skilled nursing business office and billing.

Responsibilities

  • Ensure that business tasks are performed correctly and timely, including census management, cash management, billing management, collections management, refund and adjustment management, and trust management.
  • Ensure census is balanced daily.
  • Ensure cash is deposited daily, posted daily, and balances to the bank statement.
  • Review and analyze account receivable aging and develop strategies for collection to meet key AR metrics.
  • Identify and correct errors with revenue and cash posting.
  • Ensure timely billing of accounts in accordance with the Policy and Procedure and the Business Office Monthly Calendar.
  • Ensure timely follow-up on current and delinquent accounts in accordance with the Policy and Procedure and the Business Office Monthly Calendar.
  • Complete month-end close timely and accurately in coordination with the Regional Financial Consultant and ARD.
  • Reconcile the Resident Trust monthly.
  • Ensure that the Operating and Trust Petty Cash balances at least monthly, or as needed.
  • Respond to requests from facility Department Heads and other staff timely.
  • Partner with Admissions staff to educate patients and responsible parties regarding their insurance and private liability.
  • Respond to collection and audit requests timely from AR support departments.
  • Foster and maintain a strong positive working relationship with fellow employees and other subsidiary companies.
  • Maintain a safe and clean work area and adhere to location/company safety standards.
  • Adhere to location and company policy and procedures.
  • Adhere to established HIPAA confidentiality standards of patient/resident and client location information.
  • Provide leadership and support for the Compliance Process within management area.
  • Perform other tasks or duties as assigned.
