About the position

The Business Office Manager (BOM) is responsible for accurately recording all facility revenue and ensuring timely collection of that revenue. This role involves overseeing various business tasks, including census management, cash management, billing, collections, and trust management, while ensuring compliance with state and federal regulations.

Responsibilities

  • Ensure that business tasks are performed correctly and timely, including census management, cash management, billing management, collections management, refund and adjustment management, and trust management.
  • Ensure census is balanced daily.
  • Ensure cash is deposited daily, posted daily, and balances to the bank statement.
  • Review and analyze account receivable aging and develop strategies for collection to meet key AR metrics.
  • Identify and correct errors with revenue and cash posting to ensure timely billing of accounts.
  • Ensure timely follow-up on current and delinquent accounts in accordance with policy and procedure.
  • Coordinate routine account receivable meetings with the Administrator weekly to discuss delinquent accounts and barriers to collection.
  • Complete month-end close timely and accurately in coordination with the RFC and ARD.
  • Coordinate monthly Triple Check with the facility team and ensure billing is compliant with state and federal regulations.
  • Reconcile the Resident Trust monthly.
  • Ensure that the Operating and Trust Petty Cash balances at least monthly, or as needed.
  • Where applicable, coordinate, train, and monitor BOA duties to ensure accuracy, timeliness, and compliance.
  • Respond to requests from facility Department Heads and other staff timely.
  • Partner with Admissions staff to educate patients and responsible parties regarding their insurance and private liability.
  • Respond to collection and audit requests timely from AR support departments.
  • Foster and maintain a strong positive working relationship with fellow employees and other subsidiary companies.
  • Participate in the Quality Management process and support development and implementation of improvement plans.
  • Ensure that all OSHA and safety standards are followed, as applicable to the position.
  • Maintain a safe and clean work area and adhere to location/company safety standards.
  • Adhere to location and company policy and procedures, including HIPAA confidentiality standards.
  • Provide leadership and support for the Compliance Process within the management area.
  • Perform other tasks or duties as assigned.

Requirements

  • Two years of skilled nursing facility (SNF) business office and billing experience.
  • Ability to lead, plan, organize, develop, implement, and interpret programs, goals, objectives, policies, and procedures necessary for sound business operations.
  • Ability to apply critical thinking to assess business objectives and develop effective improvement plans.
  • Ability to read, interpret, and analyze accounts receivable records and reports.
  • Knowledge of reimbursement regulations and laws pertaining to healthcare.
  • Ability to work harmoniously with personnel and maintain good employee morale.
  • Ability to work independently and accept constructive feedback.
  • Sufficient verbal and written communication skills.
