About the position

The Catering Sales Coordinator at the George R. Brown Convention Center is responsible for providing clerical functions and administrative support for food service programs. This role is essential in ensuring that the operations run smoothly and efficiently, contributing to the overall success of the catering services provided at the venue. The coordinator will be involved in various tasks that require attention to detail, strong organizational skills, and the ability to work collaboratively with a diverse team. In this position, the coordinator will handle a variety of responsibilities, including answering telephones and directing inquiries in a professional and client-centric manner. Maintaining confidential personnel files is a critical aspect of the role, as is assisting management staff in preparing confidential employment and labor relations documents. The coordinator will also play a key role in staffing, particularly in finding staff when employees call out on short notice, ensuring that service levels are maintained. Additionally, the coordinator will be responsible for completing and maintaining accurate records of students eligible for free and reduced-priced lunches, entering weekly cash sales and meal counts into the computer system, and performing daily bank deposit reconciliations. Processing vendor invoices for payment and performing monthly vendor statement reconciliations are also part of the job. The coordinator will assist in preparing end-of-month financial reports and attend in-service and safety meetings as required. Maintaining a clean and safe work environment is essential, and the coordinator will perform other duties as assigned to support the team and the overall operations of the catering services.

Responsibilities

  • Answer telephones and direct inquiries in a professional and client-centric manner.
  • Maintain confidential personnel files.
  • Assist management staff in preparing confidential employment and labor relations documents, including proposed disciplinary notices.
  • Assist with staffing, including finding staff when employees call out on short notice.
  • Work effectively and maintain good working relationships with co-workers, school personnel, administrators, students' parents, and Supervisor.
  • Complete and maintain accurate and up-to-date records of students eligible for free and reduced-priced lunches if applicable.
  • Enter weekly cash sales and meal counts using computer.
  • Perform daily bank deposit reconciliation.
  • Process vendor invoices for payment, ensuring accuracy and checking item prices against bid specifications.
  • Perform monthly vendor statement reconciliation.
  • Prepare monthly state claim form for reimbursement.
  • Assist in preparation of end-of-month financial reports.
  • Attend in-service and/or safety meetings as required.
  • Maintain a clean and safe work environment; ability to perform job safely.
  • Perform other duties as assigned.

Requirements

  • Strong organizational skills and attention to detail.
  • Ability to maintain confidentiality in handling personnel files and sensitive documents.
  • Excellent communication skills, both verbal and written.
  • Proficiency in using computer systems for data entry and financial reporting.
  • Ability to work collaboratively in a team environment and maintain good working relationships.
