About the position

The Chief Administrative Officer (CAO) at UC Irvine's Artificial Intelligence in Science Institute (AISI) is responsible for overseeing all administrative operations, including budgetary and financial management, human resources, and compliance with university policies. This role involves managing an annual budget of $5 million, ensuring effective use of resources, and supporting the institute's mission to advance AI research and education. The CAO will report directly to the AISI Director and play a key role in facilitating the transition of AI technologies into practical applications.

Responsibilities

  • Oversee all administrative operations of the AISI, including budget management and financial oversight.
  • Manage federal and private contracts, grants, and subawards, ensuring compliance with regulations.
  • Perform short- and long-term financial planning and projections for AISI faculty.
  • Oversee purchasing and reimbursements, ensuring adherence to university policies.
  • Prepare and submit pre-award proposals and grant budgets, including reviewing administrative sections of proposals.
  • Manage post-award contract and grant activities, including renewals and financial reporting.
  • Handle human resources functions, including payroll and oversight of faculty and staff.
  • Train and supervise support staff or students as needed.

Requirements

  • Thorough knowledge of university rules and regulations regarding budget and personnel management.
  • Strong interpersonal skills, including verbal and written communication and active listening.
  • Experience with contracts and grants proposal preparation and post-award management.
  • Knowledge of administrative operational activities such as event planning and payroll.
  • Solid knowledge of university-specific computer applications.
  • Ability to maintain confidentiality and use discretion in sensitive matters.
  • Strong skills in planning, analysis, problem-solving, and customer service.
  • Thorough knowledge of financial analysis and reporting techniques.
  • Knowledge of human resources policies for staff and academic employees.
  • 3-5 years of experience in a university environment.
