About the position

The Clerk II for the Magistrate's Office - Civil Department is responsible for performing specialized and complex clerical functions to support effective office and court operations. This role involves managing case files, processing legal documents, and assisting with courtroom duties while ensuring compliance with court procedures and regulations.

Responsibilities

  • Perform a variety of specialized and complex clerical functions to support office and court operations.
  • Prepare, process, and transmit various filings necessary for case management.
  • Maintain case files and records, disposing of cases as appropriate.
  • Respond to public inquiries and requests for assistance, explaining court procedures.
  • Accept and record payments, preparing daily deposits.
  • Communicate with attorneys and litigants to coordinate court dates and hearings.
  • Assist with courtroom duties as necessary.
  • Input case information into the Case Management System and prepare reports and correspondence.
  • Perform various clerical duties including typing reports, researching records, and filing documents.
  • Operate office equipment such as computers, printers, and fax machines.
  • Provide general administrative assistance to judges and coordinate civil jury trial schedules.

Requirements

  • Vocational/technical diploma in clerical studies, paralegal, or data processing.
  • One to two years of general clerical, paralegal, or related experience.
  • Proficiency in clerical skills and professionalism in communications.
  • Knowledge of the methods, policies, and procedures of the Office of the Magistrate.
  • Ability to comprehend, interpret, and apply regulations and procedures.
  • Skilled in record-keeping and bookkeeping principles.
  • Mathematical ability for required calculations.
  • Ability to work under stressful conditions and prioritize assignments.
  • Experience with Microsoft Office products, including Outlook, Word, and Excel.
