About the position

The Sr. Clinic Assistant at the University of Miami plays a crucial role in patient care by working directly with patients and healthcare facilities to gather necessary medical information for clinic visits. This position involves both clinical and administrative responsibilities, ensuring smooth patient flow and assisting with various nursing activities and laboratory collections.

Responsibilities

  • Obtain vital signs and weight, rooming patients during clinic visits.
  • Maintain patient flow during clinics, including collection and mailing of samples.
  • Complete requisitions, enter orders, and referrals in U-Chart.
  • Upload scanned documents and images in U-Chart as needed.
  • Prepare items for the scanning team.
  • Assist physicians in setting up for in-office minor procedures.
  • Ensure clinic exam rooms are clean, orderly, well-stocked, and that all equipment is functional.
  • Maintain examination work-up forms and other medical forms readily available for physicians.
  • Answer telephone calls professionally and relay messages in a timely manner.
  • Respond to emails and U-Chart messages promptly.
  • Register patients and schedule appointments accurately.
  • Verify insurance coverage for patient visits and coordinate cancellations with Billing and CIV.
  • Prepare medical records for clinics and gather test results as requested.
  • Route medical record requests to the appropriate on-campus time.
  • Assist with registering patients in UChart for the Department's Biochemical and Molecular Genetics Diagnostic Laboratory.
  • Upload BMGDL test results to patients' UChart records.
  • Assist pediatric genetic counselors with contacting patients regarding appointments and sample collection.
  • Track pending medical records to ensure delivery before clinic visits.
  • Communicate with nurse coordinators if unable to obtain pertinent records.
  • Travel within the facility to retrieve records, films, or CDs.
  • Prepare pathology slides for consultation and return them to the appropriate institution or patient.
  • Maintain accurate clinical records while preserving patient confidentiality.
  • Assist with clerical duties, including receiving phone calls, sending faxes, and scanning documents.

Requirements

  • High school diploma or equivalent.
  • Minimum 3 years of relevant experience.
  • Active State of Florida CNA license preferred.
  • Skill in completing assignments accurately and with attention to detail.
  • Ability to analyze, organize, and prioritize work under pressure while meeting deadlines.
  • Ability to process and handle confidential information with discretion.
  • Ability to work evenings, nights, and weekends as necessary.
