About the position

The position involves performing general office duties that incorporate a variety of basic and routine clerical and secretarial tasks within a clinical environment. Under direct supervision, the employee will engage in a range of clerical activities, which include preparing and typing routine correspondence, form letters, and reports. The role requires answering telephone calls and routing them to the appropriate personnel, as well as greeting visitors and patients, guiding them to the correct location or person as necessary. The employee will also be responsible for setting up and maintaining filing systems and basic databases, completing forms and reports as required by various company offices and external vendors or agencies, and recording minutes of meetings to provide necessary documentation. Additional responsibilities include making copies of correspondence and other printed materials as required by the manager, preparing purchase orders using appropriate software applications, and assisting with department or facility accounts receivable and accounts payable functions. The employee will distribute incoming mail, maintain calendars and daily schedules, schedule appointments, and arrange meetings. They will also maintain an inventory of necessary office forms and supplies, assist with basic personnel administrative functions, and act as a backup to other clerical personnel as needed. The role involves assisting in the collection of Patient Statistical Profiles and Continuous Quality Improvement Data, month-end reporting requirements, and auditing records for compliance with medical records standards. The employee will maintain accurate records of hospitalization and patient travel to facilitate coordination of patient scheduling and ancillary testing, prepare medical records for facsimile or mail related to travel, transplant, and disability, and organize travel for patients by contacting and providing requested medical records. Coordination of transient patient paperwork and transfer placements, along with confirming admissions paperwork is completed and sent to designated departments, is also part of the job. The employee will assist with medical appointment referrals and scheduling, transportation coordination, and ensure data entry is completed for Crown Web related to ESRD 2728, ESRD 2746, and PART. Other duties may be assigned, and additional responsibilities may focus on specific departments or locations as outlined in applicable addenda.

Responsibilities

Requirements

  • High School Diploma required.
  • Minimum 6 months relevant experience without a degree or 0-6 months experience with an Associate degree or secretarial school.
  • Experience working knowledge of computers with Microsoft Word, Excel, and PowerPoint preferred.
  • Good verbal communication skills.
  • Pleasant telephone manner.
