About the position

The Communication Specialist at Counter PHI, Inc. plays a crucial role in supporting flight operations in and around the Gulf of Mexico. Reporting directly to the Communication Center Supervisor, this position involves a variety of responsibilities including flight following, emergency response assistance, and general support for flight operations. The specialist will be responsible for filing and confirming internal flight plans, revising estimated times of arrival (ETAs), and ensuring that all flight plan information is accurate and up-to-date. In addition, the role requires responding to various flight plan alerts and assisting with overdue aircraft response duties, including acting in emergency situations such as MayDays and assisting aircraft in Instrument Meteorological Conditions (IIMC). The Communication Specialist will also provide critical support to pilots by advising them on converging and reciprocal flight paths, Enhanced Operational Controls (EOCs), storm and adverse weather conditions, and other important flight information such as NOTAMs, fuel location status, and current weather observations. This position requires a high level of communication and coordination with pilots, management, and other departments to ensure safe and efficient flight operations. The specialist will also be responsible for filing reports with the U.S. Coast Guard regarding oil spills and distressed vessels, as well as assisting with troubleshooting radio and equipment issues. The work environment is dynamic and can be high-pressure, requiring the ability to multitask and make logical decisions quickly. The Communication Specialist will work in a communication center that operates 24/7, averaging over 3,000 contacts daily, and will be expected to manage a computer console with multiple monitors throughout their shift. Training will be provided on the job, and the schedule may require flexibility, including potential relocation to support operations during severe weather events.

Responsibilities

  • File PHI internal Flight Plans
  • Confirm PHI Flight Plans received via EFB
  • Correct PHI Flight Plan errors
  • Revise ETAs and make changes to PHI flight plans as needed
  • Verify PHI Flight Plan information
  • Close PHI Flight Plans and respond to various PHI Flight Plan Alerts
  • Perform overdue aircraft response duties
  • Respond to MayDays and assist aircraft in IIMC conditions
  • Assist aircraft with maintenance issues and locate suitable landing locations
  • Advise pilots of converging and reciprocal flight paths
  • Advise pilots of EOCs and storm/adverse weather conditions
  • Advise pilots of NOTAMs and fuel location status
  • Advise pilots of current weather observations and TAF information
  • Advise pilots of PIREPs and Warning Area Activity
  • Relay messages to/from base, scheduling, customer, managers, pilots
  • File Oil Spill Reports with the USCG
  • Assist radio technicians in troubleshooting radio issues
  • Monitor RTHUMs for aircraft maintenance issues
  • Obtain Green Deck for pilots and relay 20 and 5 minute out calls from pilots
  • Handle pilot flight and duty requests and issue/cancel EOCs and NOTAMs
  • Perform Communication Center Opening and Closing Duties
  • Check FAA TFR site for new TFRs impacting the Gulf of Mexico
  • Stay until all Gulf of Mexico flights are completed and crews have signed out

Requirements

  • High School Diploma required
  • 2-3 years experience in a similar role preferred
  • Intermediate level computer skills
  • Excellent Customer Relations skills
  • Ability to interact well with other employees and departments
  • Ability to work with little or no supervision
  • Ability to continuously multi-task
  • Ability to make logical decisions in a high stress environment
  • Aviation industry experience preferred
