The Communications Production Specialist plays a crucial role in collaborating with business partners and stakeholders to execute various communication projects, events, conferences, videos, photo shoots, and media library organization. This position is responsible for coordinating logistic details, managing budgets and expenses, scheduling resources, and overseeing project and production schedules. In this role, you will assist in setting up projects that include schedules and deliverable specifications. You will coordinate with internal teams, including creative, video, photo specialists, and business partners, to meet project goals and deadlines. Additionally, you will manage the payment of expenses and invoices, providing proactive progress updates to business partners. You will also assist in developing and maintaining scheduling software programs for the communications teams, ensuring that all projects meet company brand standards. Your attention to detail will be essential as you review and proofread drafts of projects to ensure they are error-free and meet quality standards. The position also involves video and photo production, where you will assist in developing concepts, storyboards, and scripts, as well as scheduling shoots and providing in-person support during productions. You will help develop promotional strategies for events and meetings, including researching and scheduling contracts for locations, travel, food, and speakers. Your role will include performing site visits and pre-planning sessions with vendors, providing setup and on-site support, and coordinating with AV and other technology programs for professional productions. Furthermore, you will be responsible for developing and maintaining a media library for current and historical relevance, working with IT and other departments to ensure system needs are met. You will establish relationships with vendors for enhancements and best practices, create governance plans, and monitor engagement performance on systems, reporting to stakeholders on areas for improvement. This position requires a proactive approach to managing multiple projects and deadlines in a fast-paced work environment, ensuring high-quality productions that align with Gordon Food Service's standards.

Responsibilities

Requirements

  • Strong writing and editing skills in English.
  • Proficient in project management and time management.
  • Experience with media library or similar asset organization programs.
  • Ability to self-manage and prioritize tasks in a fast-paced environment.
  • Strong communication skills, including interpersonal and presentation skills.
  • Experience in using various communication channels, including digital media and print.
  • Ability to engage in the creative process for graphic design and video projects.
  • Keen attention to detail to ensure high-quality productions.
