This role is situated within our Corporate Services Department, which encompasses our Finance, IT, Legal, and HR Teams, all working together to support our mission. The Compensation and Benefits Coordinator will be an integral part of our Global Compensation & Benefits Team, combining our compensation and benefits functions with payroll to support our global agenda. This position is crucial for ensuring that Tobii Dynavox's compensation offerings are comprehensive, aimed at attracting, motivating, and retaining talent. You will collaborate closely with the Payroll/Benefits Manager in Pittsburgh to maintain the accuracy of our compensation and benefits data, ensuring that payroll data is routinely audited and that benefit enrollments and terminations are managed promptly. Your proactive communication within the team will be essential for alignment, and your interactions with employees and managers will reflect our commitment to excellence and support. In this role, you will be responsible for auditing payroll records, reconciling payroll and tax filings, managing employee benefits enrollments and terminations, and supporting various audits with essential data and documentation. You will also participate in team projects aimed at driving innovation and improvements within the Compensation and Benefits Team. This position requires a detail-oriented individual who can efficiently handle multiple tasks while maintaining the privacy of sensitive information and adhering to data privacy policies.

Responsibilities

  • Audit payroll records during payroll processing and upon request to guarantee precision and compliance.
  • Reconcile payroll and quarterly tax filings to maintain financial health.
  • Update tax codes in the payroll system and set up new state and local tax authorities as needed.
  • Validate data to ensure accuracy and integrity.
  • Enroll new employees in benefit programs, enhancing their onboarding experience.
  • Manage the termination of employee benefits on benefit websites, including all plans and COBRA processing.
  • Prepare manual entries for leaves of absence and reconcile them with state benefit sites.
  • Ensure timely submission of benefit elections each payroll cycle, such as HSA and FSA contributions.
  • Submit benefit expenses to Accounts Payable (A/P) for approval, streamlining the process.
  • Support various audits with essential data and documentation, ensuring transparency and compliance.
  • Actively participate in Compensation and Benefit Team projects, driving innovation and improvements.
  • Perform various other tasks as assigned, demonstrating flexibility and commitment.

Requirements

  • 1-2 years of experience with payroll processing and benefits administration.
  • Specific experience with Workday and US-based pension and benefits programs is strongly preferred.
  • Attention to detail and ability to keep documentation and processes well-organized.
  • Experience with HR information systems.
  • Ability to maintain privacy of sensitive information.
  • Efficiently handle multiple tasks and meet deadlines.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and other relevant software.
  • Strong communication and interpersonal skills, with the ability to present data clearly and concisely.
  • Organizational skills, with an ability to prioritize important projects.
  • Adherence to data privacy policies and keen attention to detail.
