About the position

Veeva Systems is seeking a Contract Administrator to manage third-party access agreements (TPAs) as part of its dynamic Legal Team. This role is crucial for ensuring that all TPAs required for the operation of Veeva's business globally are completed accurately and efficiently. The successful candidate will report to the Senior Counsel, Global Alliances, while also collaborating closely with Veeva's General Counsel. The position is designed for an individual who is detail-oriented and eager to provide focused support to both internal and external customers. The starting date for this position is August 1, 2024. In this role, the Contract Administrator will be responsible for the administration of the TPA process, which includes the initial review of TPA terms from third parties and escalating issues as necessary. The administrator will manage inquiries from Veeva's sales teams and customers regarding the status of TPAs and the overall TPA process. Additionally, the role involves managing Veeva's contract management system for TPAs, auditing existing contracts, and developing reports on specific legal terms and conditions. The administrator will also maintain contract template versions, recommend improvements to the TPA process, and create know-how documents for various stakeholders. Providing accurate and expedient customer service regarding TPAs is a key responsibility, along with supporting the Legal Team on special projects as directed by attorneys. The role requires a proactive approach to managing multiple projects concurrently while maintaining a high level of accuracy and attention to detail. The ideal candidate will thrive in a fast-paced environment and be comfortable reviewing legal documents to identify issues specified by the legal team.

Responsibilities

  • Administration of the process for completing all third-party access agreements (TPAs) required for the operation of Veeva's business globally
  • Initial review of TPA terms from third parties, escalating where necessary
  • Manage and address incoming inquiries from Veeva sales teams and Veeva customers about the status of TPAs and the TPA process
  • Manage Veeva's contract management system for TPAs
  • Audit existing contracts and develop reports on specific legal terms and conditions
  • Maintain contract template versions and recommend improvements and innovations to the TPA process
  • Maintain the TPA intranet page and create appropriate know-how documents about the TPA process for different stakeholders
  • Provide accurate and expedient customer service to internal and external customers regarding TPAs
  • Support the Legal Team as requested
  • Other special projects, as directed by attorneys
  • Other responsibilities as required

Requirements

  • High level of accuracy and strong attention to detail
  • Based on the East Coast, USA
  • 2+ years of relevant contract management/administration experience
  • Strong organizational and time management skills
  • Team player with the ability to work independently, be proactive, and manage multiple projects concurrently
  • Strong interpersonal skills, with a friendly, outgoing, and flexible manner
  • Ability to work under pressure and meet critical deadlines
  • Comfortable reviewing legal documents to identify issues specified by the legal team
  • Communicative - you know when to escalate and escalate appropriately
  • Excellent knowledge of Gmail, Adobe Acrobat, Microsoft Office Suite, Adobe Sign (f/k/a EchoSign), and Salesforce, and comfortable learning any new program or software
  • Working knowledge of Internet browsers and the ability to use the Internet to do research
