About the position

The Customer Service Associate position is focused on providing administrative support and exceptional customer service to the office management, operations, and sales teams. The role involves effective communication with associates, customers, and vendors, managing various administrative tasks, and resolving issues related to shipping, returns, and customer inquiries. The ideal candidate will be a self-starter with strong multitasking abilities and a commitment to maintaining a positive company image through professional interactions.

Responsibilities

  • Provide positive and professional perception of the company through all personal interactions with customers, vendors, and associates.
  • Identify potential service issues and proactively communicate and resolve them quickly.
  • Work closely with vendors and team members to resolve issues promptly.
  • Learn internal processes and understand how to solve problems and improve processes.
  • Utilize phone and email as primary means of communication and ongoing engagement.
  • Intuitively and proactively determine customer needs and present relevant solutions.
  • Operate ethically and methodically by following policies and procedures.
  • Offer suggestions that will improve internal processes.
  • Contribute to team effort and effectiveness through open communication and a positive outlook.
  • Monitor, prioritize, and manage email and phone requests for assistance with returns, orders, and pending credits.
  • Collect and distribute shipment tracking information.
  • Update and maintain status details and communicate relevant status issues to the sales team.
  • Manage Open PO List daily and communicate with customers, administration, and reps.
  • Make relevant notes in ERP and monitor Open Sales Orders weekly.

Requirements

  • Previous experience in Customer Service, Office Administration, Executive Assistance, sales or related fields.
  • Experience with office software and applications, database software, ERP and/or other computer-related equipment and software.
  • Excellent phone and email communication and presentation skills.
  • Attention to detail and accuracy is critical.
  • High school education; college education is a plus.
  • Proficient in English; a second language is a plus.

Nice-to-haves

  • Experience in sales or related fields.
  • Familiarity with ERP systems.
