About the position

The Data Entry Specialist is responsible for processing orders, managing customer communications, and ensuring accurate data entry in a fast-paced environment. This role involves interacting with customers to provide information about orders, handling complaints, and coordinating with various departments to ensure timely delivery of products. The position requires strong computer skills and the ability to maintain accuracy while working under pressure.

Responsibilities

  • Order parts, materials, and merchandise received via email, telephone, or in person.
  • Add, edit, and remove orders accurately and quickly.
  • Inform customers about unit prices, shipping dates, and any anticipated delays.
  • Enter data into the computer to calculate total costs for customers.
  • Record or file copies of orders received.
  • Ascertain the credit rating of customers.
  • Check inventory control and notify stock control of non-standard items or unusual quantities.
  • Route orders to departments for filling and follow up to ensure timely delivery.
  • Receive, check, and document customer complaints.
  • Confer with production, sales, shipping, and warehouse personnel to expedite or trace shipments.
  • Attempt to upsell additional merchandise to customers.
  • Process returns and coordinate with departments to issue credits and adjust inventories.

Requirements

  • Proficient computer skills including email etiquette, PDF handling, and website navigation.
  • Fluent in English, both verbal and written communication.
  • Excellent organizational and interpersonal skills.
  • Detail-oriented with the ability to multi-task and prioritize effectively.
  • Ability to work independently and collaboratively in a team environment.
  • Ability to follow instructions and maintain accuracy under pressure.
