The Director of Commercial/Residential Property Management plays a crucial role in maintaining and improving the value of commercial and residential properties. This position is responsible for managing all aspects of property management, including budgeting, accounts payable/receivables, purchasing, leasing, payments, and contracts. The Director will oversee tenant services, building maintenance, and contract administration, ensuring that all operations run smoothly and efficiently. In this role, the Director will negotiate and prepare commercial leases and renewal agreements, coordinate tenant functions, and handle tenant issues effectively. The position requires strategic planning, operational oversight, and financial management to develop and implement comprehensive strategies aimed at enhancing property value. This includes initiatives focused on tenant satisfaction, cost-effective maintenance programs, and capital improvement projects. The Director will oversee the daily operations of residential, commercial, and/or industrial properties, ensuring efficient management and maintenance practices are in place. Maximizing occupancy rates and rental income through effective property management strategies, policies, and procedures is a key responsibility. The Director will also manage vendors, developing key performance indicators to ensure all properties are maintained in top condition. Training the Property Management Department on any new software and employing contractors for repairs and maintenance of building systems such as plumbing, electrical, HVAC, and operating equipment are also essential duties. Additional responsibilities include leasing vacant commercial space, preparing leases and abstracts, billing monthly rents, and inputting data into LoopNet. The Director will perform a variety of maintenance and construction duties, prepare financial reports, operations and capital budgets, quarterly re-forecasts, and reconciliations. Implementing a preventive and operational maintenance program tailored to the specific needs of properties within the assigned portfolio is crucial. The Director will also oversee and maintain all new lease and lease renewal practices, collect accounts receivables, and track building maintenance issues. Conducting quarterly property inspections and preparing detailed reports, setting up new lease files, administering move-in and move-out procedures, and tracking Certificates of Insurance for tenants and vendors are also part of the role. Finally, the Director will establish, adjust, and maintain lease activity on Project Summary Reports and Rent Roll Reports, prepare and submit annual operating expenses reports, abstract leases, amendments, and certificate of insurance forms, and supervise on-site management employees to ensure optimum performance.
