About the position

The Elementary Attendance Clerk at Sea View Elementary School plays a crucial role in supporting the educational environment by managing attendance records and providing clerical assistance under general supervision. This position is specifically designed for current employees of the Coachella Valley Unified School District, emphasizing the district's commitment to internal growth and development. The clerk will be responsible for a variety of tasks that include greeting and assisting parents and visitors in the front office, performing clerical work related to attendance, and ensuring efficient student registration processes. In addition to these primary duties, the Attendance Clerk will conduct transactions with school personnel and the public, requiring a solid understanding of district rules, procedures, and policies. Maintaining accurate files and records on attendance, documenting absences, and sorting and filing important documents are essential functions of this role. The clerk will also assist new teachers and support staff with daily attendance recordkeeping and compute weekly enrollment reports. The position may require travel for home visits related to attendance, and attendance at training sessions, workshops, and meetings is necessary to maintain compliance with district, local, state, and federal requirements. The Attendance Clerk will also cover the front office in the absence of other clerical personnel and may assist with updating emergency contact information in the student database system. This role is vital in ensuring that the school operates smoothly and that students receive the support they need to succeed.

Responsibilities

  • Greet and assist parents and visitors in Front Office.
  • Perform a wide variety of clerical work related to attendance.
  • Perform student registration to provide efficient and courteous student and parent services.
  • Conduct transactions with school personnel or the public, requiring knowledge of rules, procedures, and policies.
  • Maintain files and records on current District attendance record keeping and reporting.
  • Post information to records and fill in forms.
  • Document absences on absence log.
  • Sort, record, and file documents and student doctor notes.
  • Maintain required records and files as required by auditors.
  • Assist new teachers and other support staff with the procedures of daily attendance recordkeeping.
  • Compute and distribute weekly enrollment reports.
  • Travel as required pertaining to attendance to perform home visits as needed.
  • Attend training, workshops, and meetings to maintain skills and ensure compliance with district, local, state, and federal requirements.
  • Cover the front office in the absence of other clerical personnel or as needed.
  • Attend additional training as required for updating and maintaining skills and for gathering or conveying required information.
  • May assist with updating emergency contact information in the student database system.
  • Perform other related duties as assigned.

Requirements

  • High School Diploma or the equivalent.
  • One (1) year of clerical and/or technical experience.
