About the position

The Learning Services Secretary position at the Berkley School District is designed to provide comprehensive administrative support to both the Teaching and Learning Department and the Student Services Department. This role is crucial in facilitating smooth operations and effective communication within and between these departments. The secretary will manage day-to-day administrative tasks, coordinate meetings and events, maintain accurate records, and serve as a reliable point of contact for staff, students, and external stakeholders. Through meticulous organization and proactive assistance, the secretary will contribute to the departments' goals of delivering high-quality educational programs and services to all students. The position requires a commitment to enhancing the efficiency and effectiveness of department activities. The secretary will be responsible for handling various office and clerical responsibilities assigned by the Directors of Teaching and Learning and Student Services. This includes managing phone and email correspondence, assisting with the pupil accounting process, maintaining special education files, and preparing accurate count reports for submission to Oakland Schools, particularly concerning at-risk and special education students. The role also involves creating and maintaining databases for Special Education data related to State M-Step and MI-Access Test data for all Special Education students, as well as assisting with assessment management in systems like Illuminate, NWEA, and College Board. In addition to these responsibilities, the secretary will coordinate Medicaid procedures and perform other related duties as assigned. The position is classified under the Berkley Educational Secretaries Association (BESA) and is expected to work 37.5 hours per week for 44 weeks, aligning with the teacher calendar. Responsibilities

  • Perform office/clerical responsibilities assigned by the Directors of T&L and of Student Services
  • Handle phone and email correspondence
  • Assist with coordinating the pupil accounting process and maintaining records, preparing count reports with accuracy for submission to Oakland Schools as it relates to at-risk and special education students
  • Maintain special education files including support with data entry and pupil accounting reporting
  • Create and maintain Special Education databases for State M-Step and MI-Access Test data for all Special Education students
  • Assist with assessment management as needed in Illuminate, NWEA, and College Board
  • Coordinate Medicaid procedures
  • Perform other related duties as assigned

Requirements

  • Successful experience as a secretary
  • High School diploma required; successful completion of a college level course in budget/data management, or equivalent, is preferred
  • Effective organizational skills
  • Ability to prioritize and meet deadlines with accuracy and little supervision
  • Experience with technology; demonstrate competency in keyboarding and word-processing, development and use of spreadsheets, file management, email and web use, Windows/Google operating system, and desk-top publishing
  • Willingness and ability to learn to develop electronic presentations and spreadsheets
  • Use of networked systems
  • Record-keeping ability, skill in accurate data collection, effective data organizing, and precise recording and informative sharing of data
  • Competency in Math
