About the position

The Elementary School Secretary plays a crucial role in supporting the educational environment at Fox Hollow Elementary. This part-time position is designed to ensure the smooth and efficient operation of the school office, which is vital for maximizing student achievement. The Secretary will be responsible for a variety of administrative tasks that facilitate communication and organization within the school. This includes welcoming visitors, managing phone calls, maintaining student records, and performing bookkeeping tasks. The Secretary will also coordinate appointments and assist in providing first aid to students, ensuring a safe and supportive environment for all. In this role, the Secretary will interact frequently with staff, students, and the public, requiring excellent interpersonal skills and a professional demeanor. The position demands a high level of confidentiality and ethical behavior, as the Secretary will handle sensitive information related to students and staff. The successful candidate will be expected to maintain a regular filing system, track staff attendance, and prepare state attendance reports, contributing to the overall administrative efficiency of the school. This position is scheduled for up to 19.5 hours per week during the school year, with wages based on experience. The Secretary will report directly to the Building Administrator and will be evaluated annually based on performance. This is an at-will position, allowing for flexibility in employment terms, and the school is committed to equal opportunity hiring practices.

Responsibilities

  • Welcomes visitors to the school graciously.
  • Places and receives telephone calls cordially and accurately records messages.
  • Orders and maintains supplies, as needed, under the direction of the Building Principal.
  • Maintains student records.
  • Performs bookkeeping tasks.
  • Processes incoming and outgoing correspondence as instructed.
  • Coordinates appointments and arranges for conferences and interviews.
  • Prepares state attendance reports.
  • Maintains a regular filing system.
  • Tracks staff attendance, including substitute teacher records.
  • Assists in providing first aid and helps notify parents in case of illness.
  • Administers medication to students according to physician's orders and maintains medication log.
  • Sorts and distributes all incoming mail.
  • Maintains high standards of ethical behavior and confidentiality of information.
  • Has regular and predictable attendance.

Requirements

  • High School Diploma.
  • Proficiency in secretarial skills including typing, filing, office procedures, operation of office equipment and machines, and computer functions.
  • Ability to work with staff, students, and the public.
  • Two years experience in clerical or secretarial work requiring frequent contact with the public.

Nice-to-haves

  • Experience in a school environment.
  • Knowledge of state attendance reporting requirements.

Benefits

  • Wages in accordance with the Classified Salary Schedule as a Grade 6 to Grade 8 - $17.11 to $19.48 per hour depending on experience.
  • Part-time schedule of up to 19.5 hours per week during the school year.
