The Legal Support Specialist (LSS) will support up to three or more attorneys, including the Chairman of the West Coast Entertainment & Media Practice, in an executive assistant/secretarial capacity. This role provides a wide range of administrative, clerical, and document processing services within the Entertainment practice department. The position is primarily in-office, requiring flexibility to work overtime as needed. The LSS will manage phone lines for the supported attorneys, fielding calls, scheduling and initiating conference calls, and conveying messages as necessary. Communication with clients, opposing counsel, courts, and liaisons is a critical aspect of this role. In addition to managing communications, the LSS will process time entries, open new matters, draft engagement letters, and audit responses. The role also involves making reservations, processing reimbursement expenses, maintaining calendars, collating information, and performing other administrative duties as required by the department. Conducting research and maintaining legal files, both paper and electronic, is essential, as is organizing and filing documents in a designated order. The LSS will prepare, keyboard, enter, proofread, and process legal and administrative correspondence, manage document deliveries, and track final executed documentation. Collaboration with team members is encouraged, providing assistance when time permits. The position requires a strong ability to maintain high standards of professionalism, including confidentiality, good judgment, and the ability to anticipate the needs of attorneys with high-volume practices. Attention to detail, organizational skills, and effective time management are crucial. The LSS must possess a positive attitude, excellent interpersonal skills, and strong communication abilities to collaborate well as a team. The role also requires the ability to move from the workstation or desk several times throughout the day to retrieve documents and meet with attorneys, as well as the capacity to work under pressure to meet strict deadlines.
