About the position

The Executive Administrative Assistant will perform, coordinate, and oversee administrative duties while providing an extensive level of executive support primarily to the CEO as well as other members of the C-Suite. This role must be based in the Denver Metro Area. The position involves maintaining the Executive's schedule, managing day-to-day workflow, prioritizing various projects, and preparing materials for meetings. The Executive Administrative Assistant will also be responsible for balancing competing priorities, ensuring the completion of essential projects, and preparing the Executive(s) for upcoming appointments by gathering necessary materials. Additionally, the role includes collecting and assembling information for presentations, serving as the first point-of-contact for high-level relationships, drafting and editing correspondence, and coordinating special projects. The position requires sound judgment and the ability to make reasonable decisions in the absence of direction, while also supporting corporate conferences and special events.

Responsibilities

  • Maintains the Executive's schedule and anticipates needs while managing day-to-day workflow and prioritizing various projects.
  • Balances competing priorities to manage workflow, ensure completion of essential projects, and meet crucial deadlines.
  • Ensures Executive(s) are prepared for upcoming appointments by gathering necessary materials for each meeting.
  • Responsible for registering executives for industry conferences.
  • Collects and assembles information for presentations, projects, and strategic planning.
  • Serves as the first point-of-contact for high-level relationships between COO, CFO, CPO, CRO, GC, and external clients and partners.
  • Facilitates, builds, and monitors relationships including tracking contacts in a database and managing follow-up.
  • Drafts and edits correspondence, articles, reports, and presentations; transcribes meeting notes.
  • Coordinates and manages special projects, working collaboratively with staff to assure projects meet deadlines.
  • Takes on tasks to support the work of Graebel programs and operations and overall mission of the company.
  • Exhibits sound judgment and the ability to make reasonable decisions in the absence of direction/supervision.
  • Works closely with Corporate Receptionist and Administrative Assistants on corporate conferences and special events.
  • Performs other related essential duties as assigned or requested.

Requirements

  • Four year college degree, or equivalent experience resulting in broad knowledge of a field related to the job, such as accounting, marketing, business administration, etc.
  • Minimum 5 years of experience providing Executive/Administrative support.
  • Skilled in all aspects of planning and project management.
  • Demonstrated proficiency in quickly adapting to new technology.
  • Proven organization and time management skills.
  • Excellent attention to detail.
  • Superb communication skills (oral and written) with a confident, concise, clear and compelling style.
  • Excellent relationship builder.
  • Demonstrates a high level of tact, discretion and diplomacy.
  • Ability to maintain confidential/sensitive information.
  • Able to take an idea from conception to completion.
  • Resourceful.
