About the position

Four Seasons Resort Scottsdale is looking for a talented Executive Administrative Assistant who will provide support and clerical expertise to our GM / Resort Manager / Director of Finance / Director of Marketing and respond to guest and employee inquiries in an efficient, courteous and professional manner to achieve maximum satisfaction. The role involves providing administrative support, handling meeting scheduling, coordination, documentation, and follow-up, as well as executing comprehensive general clerical and office management duties. The ideal candidate will maintain a clean and organized work area, manage travel arrangements for managers and VIP guests, and assist with guest complaints in the absence of the General Manager.

Responsibilities

  • Providing administrative support to the GM/RM/DOF/DOM/Executive Office and handle meeting scheduling, coordination, documentation and follow up.
  • Executing comprehensive general clerical and office management duties including mail, filing, document management.
  • Calendar coordination, email management and travel planning for the GM/Executive Office.
  • Prepare written correspondence on behalf of General Manager and Resort Manager.
  • Compile monthly guest comment analysis and ensure proper distribution of results.
  • Handle travel arrangements and reservations for managers and VIP guests including handling Elite guests.
  • Liaison with VIP guests of Four Seasons, overseeing room allocations, amenities, welcome cards and correspondence.
  • Maintain a clean, neat and organized work area and file storage system.
  • Maintain master list of donations made to charities on behalf of the hotel.
  • Complete all payroll records for proper signature.
  • Handle complaints in the absence of the General Manager and inform him/her as to action taken and follow up required.
  • Assist with Glitch follow up to guests on behalf of Executive Office.

Requirements

  • High school education or equivalent experience
  • 1-2 years experience in a related position within Four Seasons or other organization
  • Hospitality / Operations experience is preferred
  • Professional verbal communication in English required (Bilingual with Spanish proficiency also preferred)
  • Solid knowledge of all Microsoft applications with emphasis on word processing, Excel and Outlook email
  • Knowledge of OPERA reservation system helpful
  • Solid under pressure, professional and able to maintain composure in handling challenges and complaints
  • Strong attention-to-detail with a focus on delivering quality while meeting deadlines
  • Proficiency in typing and composing Professional correspondence.
