About the position

Blue Cross and Blue Shield of Minnesota is hiring an Executive Administrative Assistant in Eagan, MN. You will support the Chief Information Officer and other executives by managing calendars, creating correspondence/presentations, and handling various administrative tasks. This role requires anticipating executive needs, taking initiative, and maintaining confidentiality. This role requires 4 days a week in office (Monday - Thursday, Friday remote), in Eagan, MN.

Responsibilities

  • Proactively manage calendars and respond to messages with a high level of professionalism.
  • Create reports, documents, presentations, and spreadsheets while exercising independence regarding layout and style.
  • Schedule meetings, virtual meetings, conference rooms, and travel arrangements.
  • Anticipate needs of the executive(s) with minimal direction.
  • Receive and screen telephone calls, letters, and/or visitors.
  • Answer questions, sometimes of a more complex nature, and obtain and furnish information as appropriate.
  • Draft correspondence for executives' final approval.
  • Anticipate needs and troubleshoot potential problems with minimal to no assistance or guidance.
  • Ensure that the technology used in department meetings and presentations is completely mastered and can assist with setup and troubleshooting.
  • Create and manage support tickets for the admin support group.
  • Guide and support the admin assistant team as needed.
  • Perform other duties as assigned.

Requirements

  • 4+ years of related experience, including work, education, transferable skills, and military experience.
  • Advanced skill level in Microsoft Word, Excel, and PowerPoint.
  • Knowledge of ServiceNow or other ticket management tool preferable.
  • Demonstrates high level of interpersonal skills and professional acumen.
  • Demonstrates high level of organizational skills.
  • Demonstrates excellent communication and relationship building skills.
  • Manages highly confidential information using appropriate discretion.
  • Presents a highly professional, personable, and knowledgeable face to all internal and external contacts.
  • Exercises a high level of judgment and timeliness in dealing with sensitive internal issues and relationships.
  • Proficiency in written communication.
  • Demonstrates ability to manage change and adapt work style and processes accordingly.
  • Exhibits competence in negotiating and dealing with customers and other stakeholders.
  • Manages multiple tasks in an environment of tight deadlines and quality standards.
  • Exhibits a high degree of autonomy and decision making discretion.
