About the position

Alvarez & Marsal is seeking a dynamic Executive Assistant (EA) to join the Corporate Performance Improvement (CPI) team. This role involves providing administrative leadership and support to top executives, enabling teams to deliver high-quality work to clients. The EA will coordinate special projects and events while maintaining a professional work environment. The position requires a hybrid schedule of 4 days in-office and 1 day remote per week, with standard working hours from 8:30 am to 5:30 pm.

Responsibilities

  • Provide daily administrative support to CPI Managing Directors, including processing time and expense reports, drafting correspondence, scheduling appointments, and making travel arrangements.
  • Coordinate internal and external meetings, including team meetings and off-site meetings, ensuring all logistics are managed effectively.
  • Interface with employees from other business units and senior executives, maintaining strong professional relationships.
  • Assist with the onboarding and offboarding processes for employees.
  • Perform Excel analysis as required, such as event contract comparisons.
  • Work cross-functionally with corporate support teams to ensure smooth business operations for the CPI unit.
  • Serve as the point of contact for day-to-day office needs, including maintenance, mail, supplies, and equipment.
  • Maintain CPI common areas and conference rooms to ensure a professional work environment.
  • Manage the internal safety program and security system.

Requirements

  • 7 years of Executive Assistant or Business Operations experience.
  • Bachelor's Degree preferred.
  • Outstanding customer service and interpersonal skills, with the ability to support multiple executives.
  • Strong relationship management skills and the ability to build a personal network within the company.
  • Excellent oral and written communication skills, with attention to clarity and confidentiality.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams), Salesforce, and Concur.
  • Skillful execution of administrative activities with high attention to detail and organization.
  • Strong problem-solving skills and self-motivated work ethic.
  • Professional image and demeanor, with project coordination experience.

  • Familiarity with file sharing software (i.e., Box).
