About the position

AWS Finance is seeking a self-driven, highly organized, resourceful, and proactive Executive Assistant to support a VP in Seattle, WA. You will act as a seamless extension of the VP and have the opportunity to work in partnership with our Leaders, key business partners, and a supportive team of other Executive Assistants. You will be an experienced and proactive planner with the demonstrated ability to respond effectively and efficiently while maintaining great flexibility. Key to the position are exceptional verbal and written communication skills and the ability to switch gears on short notice. You will be comfortable operating in a fast-paced, goal-focused environment, and possess an ability to complete a high volume of tasks with minimal supervision. A high level of integrity and discretion in handling confidential information and maintaining data privacy is also critical to success, as is professionalism in dealing with senior leadership and peers alike. You will be someone with a strong sense of ownership and sound judgement, who wants to build a trusting, long-term partnership with leaders, and develop a deep understanding of the business.

Responsibilities

  • The support and planning of several key finance deliverables
  • Manage complex calendars and scheduling to support teams in multiple locations
  • Track and help drive completion of key deliverables and follow up on action items
  • Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner
  • Coordinate global schedules and seamless meeting logistics, such as video conference and conference calls for internal and external meetings, staff meeting agendas, all-hands meetings, off-sites, etc.
  • Work closely with the leadership team, recruiting and other Executive Assistants to provide support to the organization
  • Document writing, editing, and readiness
  • Ensure accurate archiving of departmental data on appropriate sites
  • Management of team space, including moves and reconfiguration
  • Expense reimbursement including report coordination, submission and issue tracking

Requirements

  • Experience with Microsoft Office products and applications
  • High school or equivalent diploma
  • 5+ years of senior level leadership support, or 3+ years of Amazon experience
