About the position

The Executive Assistant/Planner, reporting to the Vice President of Global Services, is a strategic thinker and organizational expert responsible for managing and coordinating high-level executive activities, ensuring optimal efficiency and productivity. This role requires a keen eye for detail, strong communication skills, and the ability to anticipate and address potential challenges.

Responsibilities

  • Manage and maintain executive calendar, prioritizing appointments, meetings, and deadlines.
  • Coordinate with internal and external stakeholders to schedule meetings and events.
  • Proactively identify potential scheduling conflicts and resolve them efficiently.
  • Arrange and manage domestic and international travel itineraries, including booking flights, accommodations, and ground transportation and reimbursements.
  • Assist with the planning and execution of high-priority projects, tracking progress and deadlines.
  • Coordinate with cross-functional teams to ensure timely completion of tasks.
  • Effectively communicate with executives, team members, and external stakeholders.
  • Respond to inquiries and requests in a timely and professional manner.
  • Handle a variety of administrative tasks, such as managing correspondence, preparing presentations, and organizing files.
  • Provide general office support as needed.
  • Handle sensitive and confidential information with the utmost discretion.
  • Always maintain strict confidentiality.

Requirements

  • Bachelor's Degree or equivalent experience.
  • 5+ years related experience
  • Proven experience as an executive assistant or similar role.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to multitask and prioritize tasks effectively.
  • Strong attention to detail.
  • Discretion and confidentiality.
  • Flexibility to work irregular hours as needed.
