About the position

The role is primarily onsite at Oakland GO, requiring local candidates only. The position demands a self-starter who can contribute with minimal direction, possesses excellent communication skills, and has strong organizational abilities. The job involves 25-40% travel within the service territory, and the client will provide a laptop and necessary PPE. With prior approval from the hiring manager, expenses for mileage, food, lodging while traveling outside of Oakland, and a monthly reimbursement for cellphone usage can be claimed.

Responsibilities

  • Manage and prioritize calendar.
  • Arrange ongoing/recurring and ad hoc meetings & conference calls.
  • Schedule conference rooms and set up audio-visual or online meeting tools.
  • Coordinate and ensure meeting logistics are in place.
  • Compose, proofread, edit, and format written correspondence, agendas, and documents for signature.
  • Assist with phones, phone screening, and oral contacts.
  • Monitor, sort, and prioritize emails for leaders.
  • Refer or delegate business issues or questions to others for resolution.
  • Prepare or assist in preparing documents, reports, presentations, and meeting materials.
  • Handle all travel-related aspects for individuals and groups.
  • Order and maintain an inventory of office supplies and equipment.
  • Handle HR-related administrative tasks including time reporting and performance management.
  • Create, assemble, modify, proofread presentations, spreadsheets, and reports.
  • Manage data, metrics tracking, and reporting.

Requirements

  • High School Diploma or equivalent.
  • 3 years of executive administrative support experience.

Nice-to-haves

  • Secondary education (some college or professional certification) demonstrating advanced reading, writing, and communication skills.
  • 4 years working knowledge of Word, Excel, PowerPoint, Outlook, and Internet Search.
  • Communication and interpersonal skills that reflect a high degree of professionalism.
  • Organization and planning skills.
