About the position

The Oregon State Bar Professional Liability Fund (PLF) is hiring a full-time Executive Assistant to the CFO to join its accounting team. This position will report directly to the PLF's Chief Financial Officer (CFO) and is responsible for providing high-level administrative support to the CFO. The Executive Assistant to the CFO will work closely with the CFO in engaging with stakeholders to meet the goals and objectives of the PLF Accounting Department. This position will have an important role in the Accounting Department and must exhibit a high level of integrity and confidentiality.

Responsibilities

  • Act as the CFO's aide, anticipating needs for maximum efficiency and impact with all communications, tasks, meetings, and projects.
  • Responsible for all incoming and outgoing communications to and from the CFO's office.
  • Act as a departmental liaison for collaborative teams (e.g., board meeting preparation, organizational committees, cross-departmental projects, etc.).
  • Field inquiries to the CFO and respond accordingly by either providing necessary information or directing the inquiry to the appropriate stakeholder for processing.
  • Format raw data into a digestible format that is easy to understand and provide a basic analysis of information as needed.
  • Attend meetings with the CFO, take notes on actionable items, and review meeting notes with the CFO.
  • Prepare error-free documents and ad hoc reports for the CFO for board meetings and high-level stakeholders.
  • Manage the CFO's calendar and schedule meetings, including coordinating with other parties.
  • Demonstrate professionalism and courtesy in representing the CFO through interaction with all stakeholders, including the PLF management team, covered parties, business partners, consultants, and PLF staff.
  • Review and submit expense reports for the CFO and handle other administrative tasks for the CFO as needed.
  • Develop presentation materials for meetings including board and committee meetings, including financial charts and graphs, flow charts, and power point presentations.
  • Any other related duties as assigned by the CFO.

Requirements

  • BA/BS or equivalent in administration, finance, or related field required.
  • 7+ years of experience working as an administrative assistant at an executive level, ideally in finance/treasury or insurance.
  • Years of related work experience considered in lieu of formal education.
  • Excellent analytical and quantitative skills.
  • Proven ability to handle multiple tasks effectively under pressure while successfully meeting critical deadlines.
  • Strong knowledge of Microsoft Word, Outlook, Excel, and electronic filing systems, as well as Zoom, MS Teams, and other remote meeting software.
