About the position

The Project Manager & Executive Assistant at Mercy Corps will provide high-level executive and administrative support to the Chief Operating Officer (COO). This role involves managing the COO's complex travel schedule, coordinating meetings, and overseeing project management initiatives. The position requires strong communication skills, the ability to summarize complex information, and a collaborative approach to work in a fast-paced environment.

Responsibilities

  • Provide primary administrative and executive support for the COO, including coordination of appointments and travel schedules.
  • Liaise with HQ and global teams to provide information and follow-up on key inter-team meetings.
  • Provide planning and logistical support for key meetings, conferences, and training events.
  • Participate in high-level meetings involving the COO, managing notetaking and action points while maintaining confidentiality.
  • Maintain trackers, calendars, and internal web content for the office of the COO.
  • Coordinate management of signature needs ensuring timely handling of requests.
  • Provide proofreading, editing, and formatting support for department documents.
  • Liaise with internal and external stakeholders in implementing new projects and initiatives.
  • Lead management for key departmental and interdepartmental projects owned by the COO.
  • Develop planning, sequencing, and tracking systems for projects.
  • Steward and refine COO key products, deliverables, and tools including work plans and reports.
  • Drive effective teamwork, communication, and collaboration across multiple stakeholder groups.
  • Support proposal submissions and coordination with Regional Program Teams on donor communications.
  • Prepare the COO for board meetings and external engagements, including briefing materials and presentations.

Requirements

  • BA in a relevant nonprofit field and international experience required.
  • 4+ years of professional experience in a fast-paced environment.
  • Excellent interpersonal, verbal, research, and written communication skills.
  • Strong writing and editing skills, with expertise in editing others' writing.
  • Strong analytical skills to gather and summarize complex information.
  • Prior experience with executive staffing, including meeting preparation and travel arrangements.
  • 4+ years experience working in Operations or Support Services for an international organization/nonprofit.
  • Excellent computer skills, including familiarity with MS Office 365 Suite and Google tools.
  • Ability to take initiative and complete work with minimal guidance while prioritizing tasks.
  • Experience with public relations and correspondence to a variety of public constituents.
  • Demonstrated ability to work well under pressure and cooperatively with team members.
