About the position

As an Executive Assistant at BambooHR you will partner with our CTO (Chief Technology Officer) to assist in their work - ranging from daily tasks to long-term projects. Not only will you get to partner with amazing leaders, but you'll also be part of a strong and close-knit team of Executive Assistants. Your work will be instrumental in helping to set the leaders you support free to do great work, directly enabling them to do their work better and more efficiently. No two EA roles look the same, so here's what you can expect in an Executive Assistant role at BambooHR: Be the right hand of our CTO, heavily involved in the day-to-day. Coordinate work calendars and proactively anticipate scheduling needs. Play an integral role in planning offsites, quarterly team activities, and other events. Assist with the preparation and organization of executive travel plans and be responsible for booking flights, hotels, rental cars, etc. Take ownership of assigned tasks and projects, ensuring not only completion but also ongoing refinement and optimization. Regularly create beautiful slide decks for high-profile leadership meetings. Contribute to a culture of continuous improvement by actively participating in team discussions, identifying opportunities for improvement, and sharing best practices. Play a key role in onboarding executive team members, coordinating logistics and ensuring a smooth and positive onboarding experience. Collaborate with other EAs to provide administrative support on various projects and initiatives.

Requirements

  • 3+ years of experience as an Executive Assistant supporting C-Level Executives at a large company.
  • An incredibly proactive personality—not only do you finish assigned tasks quickly, but you anticipate future needs and proactively solve them.
  • Very strong time-management and prioritization skills - you don't let anything slip through the cracks.
  • Executive-level communication abilities—you can confidently communicate with internal and external stakeholders on behalf of executives, with a high level of professionalism.
  • Outstanding Google Suite skills— including Google Slides, Google Calendar, and Google Sheets.
  • Follow through with deadlines—the words 'past due' aren't even in your vocabulary.
  • A calm demeanor—you're not just calm in the storm, you create calm for others.
  • Discretion—your lips are sealed when it comes to sensitive, confidential, or personal information.
  • A reliable car—this position will require some travel in Salt Lake County and surrounding areas.
  • An ability to work from our Draper, UT office daily— this is an onsite position.
