About the position

Applications are being accepted by the College Place School District for an Executive Assistant to the Superintendent. This assignment is being posted for internal and external consideration at this time. Interested internal candidates will need to apply online by 4:00 pm Wednesday, March 5, 2025 to be considered prior to external candidate applicants. The position is a 260 Day Contract (Year-Round), 8 Hours per day between the hours of 7:00-5:00 (To be determined by supervisor). The salary ranges from $28.11 to $35.53 per hour, with an anticipated start date of 07/01/2025. Benefits include retirement, medical, dental, vision, and other benefits in accordance with Board policy.

Responsibilities

  • Serve as a confidential assistant to the Superintendent, handling key administrative and operational tasks.
  • Work independently within established laws, rules, and procedures.
  • Report regularly to the superintendent any developments or issues within the school system.
  • Serve as a liaison between the Superintendent and staff, departments, school board, community, businesses.
  • Establish and maintain effective relationships with the public, media, and officials.
  • Oversee district student attendance and discipline data and records for compliance.
  • Create Purchase Orders to send to vendors for ordering.
  • Plan for School Board meetings, including preparation of Agenda and compilation of pertinent material.
  • Coordinate meetings, conferences, engagements, and appointments for the Superintendent.
  • Attend Board and Executive meetings to gain knowledge of issues, projects, and plans.
  • Prepare school board minutes and reports ensuring compliance with laws.
  • Research, compile, and support the implementation of collective bargaining data.
  • Receive, screen, sort, and distribute correspondence.
  • Compile data from various sources for recommendations and information preparation.
  • Maintain, review, and update school district policies and procedures.
  • Maintain the District's Web Page and social media updates.
  • Maintain confidential files and records of office correspondence.
  • Maintain reports and documentation for federal programs.
  • Approve public facility rental requests and public posters and flyers.
  • Perform related work as required and assigned.

  • High school diploma or its equivalent (GED).
  • Knowledge and experience with secretarial procedures.
  • Knowledge with integrating technology into job results.
  • Skill to manage timelines and meet deadlines.
  • Skill to support multiple administrators.
  • Public Relations skills.
  • Quality Communication Skills with the ability to communicate with various stakeholders.
  • Skill to manage multiple tasks and projects.
  • Skills to make decisions based on established procedures and practices.
  • Self-Directed and able to work without direct supervision.
